Can I get an exported list of all contacts at W&L that I can import into my personal address book in another mail client (Thunderbird, Gmail, etc.)? (link)

We do not provide copies of the address list for two primary reasons. 1 - it becomes a nightmare to troubleshoot issues as more and more out-of-date address lists are in use, 2 - if a machine holding these addresses gets infected with a virus that uses or collects addresses then our whole address list would be compromised.

How do I email all the members in a Contacts folder? (link)

Applies to Microsoft Outlook 2007 and 2010

1. Open up a new email message

2. Click on the To... button

3. Click on the down arrow in the box underneath "Address Book"

4. Choose the folder with the contacts you'd like to email (if your personal contact folder is not listed see "How do I make my contacts folder an Address Book?")

5. Select the first name in the list, hold down the shift key, select the last name on the list, click on the To: button again.

6. All of the names should now be in the To: field of the email message. Click OK.

7. Compose and send your message.

What is a Bcc or Blind Carbon Copy used in e-mails? (link)

Bcc is an abbreviation for blind carbon copy. If you add a recipient's name to the Bcc box in an e-mail message, a copy of the message is sent to the recipient, but the recipient's name is not visible to the other recipients of the message.

How do I make my contacts folder an Address Book (Outlook 2010)? (link)

To make a personal contacts folder into an address book that is visible when viewing address books, complete the steps below:

  1. In the Navigation Pane, click Contacts.
  2. Under My Contacts, right-click the Contacts folder you want to view in the address book, and then click Properties on the shortcut menu.
  3. Click the Outlook Address Book tab, and make sure that the Show this folder as an e-mail address book check box is selected. If the check box is unavailable, you need to add the Outlook Address Book to your profile (see instructions below).
  4. Click OK.

Now when you open a new message, click the To button, and open the dropdown list of address books, this address book will be listed.

Is there a way to view the department in address books? (link)

When searching the Global Address List (GAL), click on the Advanced Find link. This allows you to enter search criteria in one or more fields including Department and Title.  

Note that the search has to match starting with the first word. Searching on "Library" in the Department field does not work because the department name is "University Library".

This advanced find capability is not available for personal contact lists/address books. With these, though, in your Contacts view you can display the Department column and sort by that.

How do I create a signature for my e-mail using the Outlook 2010 client? (link)
  1. In Outlook, click on File > Options > Mail.
  2. Click on Signatures.
  3. Click the New button.
  4. Type a name for your signature and click on OK.
  5. In Choose Default Signature:
  6. Select e-mail signature.
  7. Select if you want your signature added to New messages.
  8. Select if you want your signature added to Replies/Forwards.
  9. In Edit Signature, you have serveral options:  Type your signature, insert a picture, insert your business card, or add an hyperlink.
  10. Click on OK to return to your Mail.

How do I e-mail the students in my class? (link)
  1. You can use the Course Distribution Lists that are available in the Global Address List (GAL) in Outlook or Entourage. The courses are listed alphabetically by discipline. The format is Chem 106_01 Spring 2009-10.
  2. In Sakai, you can use the Announcements tool to send e-mails. Choose High Priority to send e-mail to all participants of the site.
  3. In Sakai, use the EMail Archive tool. You will have to add the EMail Archive tool in the Site Info > Edit Tools screen.
  4. In Sakai, use the Mailtool too. You will have to add the Mailtool tool in the Site Info > Edit Tools screen. Note: The Mailtool has been deprecated by the Sakai Foundation. The tool is no longer supported and may not be included in future releases.

How do I forward my email to a new address? (link)
  1. Log into http:owa.wlu.edu using Internet Explorer you have to use IE on a windows computer to get the full version, not the light version.
  2. Go to "Options" in the upper right hand corner of the window.
  3. Choose "Rules" on the menu on the left.
  4. Choose "New Rule"
  5. Create a rule with the conditions that
  6. Choose "When my name is" --- check "in the TO or CC Box.
  7. Under "Do the following" Choose "Forward Message to people or distribution list"
  8. Then click on the little message in the center of the page that says
  9.  "Apply this rule after the message arrives with ny name in the To or Cc box forward it to People or distribution list"
  10. Click on the people or distribution list link and put the forwarding address in the "To:" section of the message recipients window and click OK.

How do I undelete a contact in Outlook 2010? (link)

If you did in error it should be in your trash and then you just drag and drop it back into contacts.

If some time has passed follow these steps from Microsoft

  1. With Outlook 2010 open click the File Ribbon tab then click the Options button. 
  2. Click Customize Ribbon
  3. On the right-hand side add a New Group under the Folder main tab. You can rename it after it is created.
  4. Change the “Choose commands from:” to All Commands. Scroll down and select the “Recover Deleted Items…” option then click the “Add > >” button to add this option to your newly created custom group OK.
  5. You will now see your new group and the Recover Deleted Items icon in the Folder tab on all folders.
  6. If you were to click the button you will see that you have access to any purged/shift-deleted items from that folder.
  7. If you use the recover option you will see that your item has now been returned.

How do I create a Contact Group from scratch in Outlook? (link)

In the Outlook 2010

In Contacts, on the Home tab, in the New group, click New Contact Group.

In the "Name" box, type in the name of the Distribution List, i.e., "Committee Members".

On the Contact Group tab, in the Members group, click Add Members, and then click From Outlook Contacts, From Address Book or New Email Contact

  1. If you are adding a new email contact, enter the information for the person in the Add New Member dialog box.

If you are adding a member from Outlook Contacts or an Address Book, do the following:

  1. In the Address Book drop-down list, click the address book that contains the email addresses that you want to include in your Contact Group.
  2. In the list of names, click the names that you want, and then click Members. You can add names from different address books to the same Contact Group.
  1. Do this for each person whom you want to add to the Contact Group, and then click OK
  2. Click Save & Close in the top left.

The Contact Group is saved in your Contacts folder under the name that you give it.

How do I edit the information of the members of a distribution list? (link)

You cannot edit the information of members of a distribution list, but there is a workaround:

In Outlook on a PC:

  1. Click on Contacts
  2. Click the New button to create a new Contact
  3. Fill out the Contact information
  4. Click on Save to save the contact
  5. In the File menu, choose File > New > Folder
  6. Name the folder (My Study Abroad Students, for example)
  7. This folder should now appear in the left menu at the very top under "My Contacts"
  8. Now you can click and drag the newly created contact into the folder.
  9. Repeat these steps for all the Contacts you want to add to the folder

How do I share a custom contacts folder with specific people? (link)

From Microsoft

The default Contacts folder in Outlook is created in each Outlook profile. This folder cannot be renamed or deleted. You can create additional contacts folders and these folders can be renamed or deleted. This section includes instructions to share contacts folders that you create.

1. In Contacts, in the Navigation Pane, right-click the contacts folder that you want to share.
NOTE If you are using the Navigation Pane in Minimized view, in Contacts, click Navigation Pane, and then right-click the contacts folder that you want to share.
2. Click Share .
3. In the To box of the sharing invitation, enter the name of the recipient.
4. If you want to, change the Subject.
5. If you want to, grant permissions to the recipient to change your contact items by selecting the Recipient can add, edit, and delete items in this contacts folder check box.

At any time, you can change or revoke someone's access permissions to your contacts folders.

Sending to a contact group in Outlook 2010 didn't send to all members. Why? (link)

Fix: 

     • When in the Contact Folder open the distribution list so that you can see the members.
     • Click on Update Now in the tool bar
     • Click Save & Close

To check that all members will be sent to, create a new message and place the distribution list in the To field, then expand the distribution list and check that all names are listed.

How can I add addresses to my personal contacts list from the Global Address List (GAL)? (link)

1. Open the Global Address List (GAL) by clicking the address book button(looks like a little open book)

2. Search the GAL for the user

3. Highlight the user> right click> click 'Add to Contacts'>

4. At this point you can either click 'Save & Close' and then manually move the contact from your default Contacts address book to your custom book OR you can select the Microsoft icon (top left) select 'Move'>'Copy to Folder'>select your custom address book folder>click OK>close the contact window without saving.

Is email secure? (link)

It all depends on what you’re trying to protect against. So, the simplest answer is 'no'! Email is not secure, unless you have taken extra steps to encrypt the message or the attachments (or both). Therefore, do not put confidential information (i.e., SSN, credit card number, etc.) in any email, unless you know it is encrypted. Briefly, access to your email account is secured by your username and password, so make sure you have a strong password. Email can be secured from network “snooping” by accessing it from a web page using Secure Socket Layers (SSL) – indicated by the “S” in HTTPS. If you access your email from your phone, then security depends on that device. These are just some of the variables/examples, and for more information please contact the Information Security Officer.

How do I import my class schedule into Outlook using the Outlook client? (link)

How to import your class schedule into Outlook 2007

1- Go to http://webadvisor.wlu.edu in your web browser.

2- Click on Log In and then enter your username and password; click submit.

3- Select the appropriate category: Students or Faculty

4- Select "Outlook Class Schedule Import"

5- You should receive a file in .ics format in your Outlook Inbox. The sender will be "Registrar"

6- Open the message in a separate window by double-clicking on it.

7- Right-click on the attachment and choose "Open", or skip to step 12.

8- Outlook will prompt you to add the calendar to Outlook.

9- Click "Yes".

10- The calendar will now be available in Outlook, and it will be named as your username. Right-click on the calendar name and rename it to the course and section number.

11- There should be a checkbox next to the calendar name in the left-side menu. Uncheck the box when you don't want it to display; check it when you do.

12-It has been pointed out that the search assistant will not see this separate calendar when trying to schedule a meeting.  If you want the search assistant to work, you will have to import into your primary calendar.  Continue reading for how to do this.

13- Open you email message, right click the attached file, and "Save as..." to a folder you can access.

14- Go into Outlook, click on the "File" dropdown menu, and select "Import an iCalendar (.ics) ...".  Then browse to and select the emailed file that you saved in the previous step.

15- When asked "Do you want to open this calendar as a new calendar or import its items into your calendar", select "Import".

16- The imported class schedule will now be part of your primary calendar.

I’m getting bounce backs on a previously good e-mail address, what should I do? (link)

Sometimes you will get a bounce back from an e-mail address that you have used before. Please forward as an attachment the bounce back to mtrimmer@wlu.edu.  If it is determined that there is an invalid address that has gotten into your auto-complete address list you will need to remove the invalid address and manually enter correct address.

 

To remove the bad address you will need to remove the Name@address.com entry in you auto-complete list (the list of address that come up when you start typing in the To field). To remove the entry start typing “N” in the To field of a new message, use the arrow keys to move up and down the list until Name@address.com is highlighted, and press the Delete key.

 

After this you can manually type the address once and it will then again be in you auto-complete list, this time with the correct address.

What is a Thin Client? (link)

A Thin Client is a device similar to a PC but with fewer moving parts.  The operating system is usually secured to disallow users from making any permanent changes and often is configured to connect directly to a Virtual Desktop image.  A properly configured W&L Thin Client may be used as a personal desktop computer or in a lab/ classroom environment to access Virtual Desktop Images.

What is the full Outlook client? (link)

Microsoft Office Outlook is one of the programs in the Microsoft Office Suite and is often called the 'full Outlook client.' The full Outlook client is installed on University office computers running Microsoft Windows. Outlook is the primary application used by employees of the University for access to their University provided Exchange email account.

        Unsubscribe yourself (or address if specified) from the named listname.

        Get a file related to listname.   
  • index listname
        Return an index of files you can "get" for listname.   
  • which [address]
        Find out which lists you (or address if specified) are on.   
  • who listname
        Find out who is on the named listname.   
  • info listname
        Retrieve the general introductory information for the named listname.   
  • lists
        Show the lists served by this Majordomo server.   
  • help
        Retrieve help information.   
  • end
        Stop processing commands (useful if your mailer adds a signature).

  • approve password subscribe listname address
        subscribes the address given to the named list.   
  • approve password unsubscribe listname address
        unsubscribes the address given to the named list.

        changes the information a user retrieves with the "info" command; readers
        automatically get the information when they subscribe as well.

        Majordomo sends you a copy of your current list configuration file.

        replaces your list configuration file with the default list configuration file.

    How do I restore my deleted contacts or distribution list in Outlook? (link)

    Deleted contacts and distribution lists end up in the Deleted Items folder but the Deleted Items folder is normally sorted by the date the item was received. Because of this, deleted contacts and distribution lists are not easily found.

    To easily find the deleted contacts and distributions lists start by opening the Deleted Items folder. Point the mouse at the column header that says "Arrange By". Click on this column header if "Show in Groups" does not have a check mark by it then select it. Next click "Arrange By" again and select "Type". Now the items are sorted by type, and you can hide all of a given type by clicking the triangle icon at the left of the type name. When you hide the other types, it will be easy to find any deleted contacts. Click on the triangle icon at left of the Contacts header if you don't see the individual deleted contacts. Then find the lost one and drag it back into your Contacts folder.

    To return the Deleted Items folder to the default view click the "Arrange By" header and select "Date". Click again to disable "Show in Groups" if you would not liked them grouped.

    How do I create Contact Lists from an Excel chart or received e-mail? (link)

    Create a distribution list by copying names from an Excel chart or received e-mail message.   
      
    1.If using Excel copy the column.
    2.In the message that you want to copy the names from, select the names in the To or Cc box. 
    3.Right-click your selection, and then click Copy on the shortcut menu.
    4.In Contacts on the Home ribbon New - Click New Contact Group and Name it.
    5.On the Contact Group ribbon Members - Click Add Members and select from Outlook Contacts.
    6.At the bottom of the Select Members dialog box, in the Members box, right-click and then click Paste on the shortcut menu. 

    Note   A member does not need to be in your Address Book in order to be added to the distribution list. The member's name and e-mail address will be included when you copy and paste from the original e-mail message.

    7.Click OK.
    8.Click Save & Close.

    Broadcast Mail is a special e-mail message containing urgent or official information from the University. Anyone at W&L can initiate a Campus Notice; only authorized personnel can send Broadcast Mail.

    How can I get the Outlook client on my home computer? (link)

    Faculty and staff can purchase the current Office suite, which includes Outlook, at the University Store. Once you have installed Outlook, you can configure a mail profile using "Outlook Anywhere" so that you can use Outlook from home.

     

    Note: If you are configuring a laptop for Outlook Anywhere connectivity while on campus, make sure to disconnect any wired and/ or wireless network connection. Otherwise Outlook will automatically configure the profile for you and none of the options below will be available.

    1. Go to: Start|Control Panel|Mail
    2. Click on Show Profiles
    3. Click the Add button
    4. Enter a profile name: (suggest something like "Off-campus username")
    5. Then check the box next to: Manually configure server settings or additional server types.
    6. Click Next
    7. Select Microsoft Exchange
    8. Click Next
    9. In the field labeled "Microsoft Exchange Server" type: mexmba.ad.wlu.edu
    10. In the field labeled "User Name" type: username (this is your network login ID)
    11. Click the More Settings button
    12. Go to the Connection tab
    13. Make sure the check box labeled "Connect to Microsoft Exchange using HTTP" is checked
    14. Click on the Exchange Proxy Settings button
    15. Enter the following information:

    How do I connect to W&L's wireless network? (link)

    If you're a W&L faculty member, staff or student, use any available Internet connection, on-campus or off-campus, and use a Web browser to access this page:

    Follow the steps, entering your W&L username and password when prompted. After you complete this step, you'll connect to W&L's wireless network automatically whenever you're in range.

    If you're not a member of the W&L community, find the wireless network named "wlu," connect, and open a Web browser. Enter your e-mail address, or, if you're a sponsored guest and have been provided with credentials for temporary access to W&L's wireless network, enter the user name and password that was provided to you.

    Can I publish a personal HTML homepage? (link)

    Yes. To publish a personal homepage, follow the follwing steps:

    1. In your H: drive, create a new folder named "public_html"
    2. Open the properties of the public_html folder
    3. Open the Security tab
    4. Select the "WWW" user entry
    5. Toggle on the "Read/Execute" rights for the WWW user and save

    How can I tell if an email is a phishing scam (security)? (link)

    Look at examples of e-mail received by W&L community members, and see if you can tell the difference between legitimate e-mail and "phishing" attempts in this interactive quiz: http://www.wlu.edu/x31191.xml

     

    Phishing is the fraudulent use of e-mail to extract confidential information. Often such messages appear to come from legitimate sources such as your bank, or W&L, and ask for information such as account information and passwords. Information Technology Services will never ask you to divulge your W&L password.

     

    Beware of any e-mail purporting to be from Information Technology Services asking for your W&L password. Any such e-mail is “phishing”: an attempt to steal personal information. ITS staff will never ask you for your password, via email, phone, or any other means. Remember, your password is your secret.

     

    Never respond to e-mails asking for your W&L password or other personal information, such as bank account or social security numbers. Instead, please follow the procedures to report it to our spam filtering vendor, and then delete the email.

     

    Please protect yourself:

     

        * If you disclosed your W&L password in response to a phishing email, change your password immediately at http://password.wlu.edu

        * Never disclose your password to anyone.

    How do I delete items from the AutoComplete list in Outlook? (link)

    1. Begin typing the name you wish to remove from the AutoComplete list.

    2. Select the unwanted name by using the UP ARROW or DOWN ARROW key.

    3. Press DELETE.

    How do I view the members of a Contacts folder on my Blackberry? (link)

    On your Blackberry, if you just want to see the members of a particular folder and not all of your Contacts:


    1. In the Address Book > Click on the Blackberry button > Choose "Filter" from the list

    2. You should see the Contacts Folder names you've created.

    3. If you select to filter on that folder, you will see only the names in that folder.

    4. To undo a filter and see all of your Contacts, repeat the process but uncheck the box in front of the folder name.

    What is the Information Security Program (ISP) at W&L? (link)

    The ISP and the ISP Committee were organized at the direction of the Provost in 2003 to comply with the Gramm-Leach-Bliley Act (GLBA) and to implement the “Safeguards Rule” issued by the Federal Trade Commission. The ISP Committee is chaired by the ISP Coordinator and the Committee has responsibility, in advising the Provost, for the ISP.     In Outlook, how do I increase the font size of a new email message? (link)

    1.    In Outlook, on the File menu, click Options.

    2.     On the Mail tab, click Stationery and Fonts (4th option from the top).

    3.     On the Personal Stationery tab, under New mail messages, click Font

    4.     On the Font tab, under Font, click the font you want to use for all new messages.

    5.     If you want, select a font style and size.

    6.     Click OK on the Fonts, the Signatures and Stationery, and the Options dialog boxes.

    7.     When you create a new message, the new settings should take effect.

    How can I get the W&L wireless network to work on my Blackberry? (link)

    First turn on Wi-Fi (wireless) on the device:

    1. At the Home screen, press the Menu key.

    2. Scroll to the Manage Connections icon and press the trackball.

    3. Scroll to Wi-Fi (not all Blackberry phones have this option; if you don't see it, it's not available for your model). Press the trackball to place a check mark in the box to turn on Wi-Fi.

    Then scan and connect to available networks

    To scan for and connect to available networks, perform the following steps:

    1. At the Home screen, press the Menu key.

    2. Scroll to Set Up Wi-Fi Network and press the trackball.

    3. Scroll to Next and press the trackball.

    4. Select Scan for Networks. The handheld scans and displays available networks.

    The University provides site licensing for these products on University-owned equipment:

    In addition, these products are licensed for all student-owned computers.

     

    Faculty and staff may install Microsoft Office on their personally-owned computers if its use is primarily for work-related purposes. Employees may purchase installation media at the University Store provided they sign a Work-at-Home Agreement at the Store.

    How do I create a phonemail distribution list? (link)

    PhoneMail allow you to send a single message to a list of extensions through the Pesonal Distribution List feature. You are limited to 10 extensions per Distribution List and you may have up to 5 different lists. Use the following instructions to create a Distribution List and to send a message.

    Access your PhoneMail box Press 9 (mailbox options) Press 1 (distribution lists) Press 1 (create) (PhoneMail will assign a D-List number) When prompted, enter the extension of the first person you want on the list and press # Repeat previous step for other entries (up to 10) Press # when you complete your entries Hang up

    Be sure to write down the number of your distrubtion list along with the extensions included in that list.

    To send a Message to a Distribution List(s): Access your PhoneMail box Press 1 (record) When prompted, record your message then press * #. Dial the D-List number and press # Repeat previous step for additional D-Lists Press # when done.

    Can I join the W&L AD domain (network)? (link)

    Faculty and staff computers will be joined to the domain by ITS personnel. Personally-owned student computers cannot be joined to the domain.

    If you need to access a computer that is in the domain, you can go to http://THESTABLE.wlu.edu and access a virtual image that is in the domain. (Access requires authorization; you'll have to log in with your network username and password.)

    Go to Box.com and create a personal account using a personal email address, such as a gmail or yahoo account. in your W&L Box.com account, add that account as a collaborator on the files you'd like to move. Log into the personal account and download the files that you need to that account.

    I create an e-mail with the delay delivery option and get an error (unsent messages in your Outbox...) when closing e-mail for the night. What do I do? (link)

    In Outlook 2007 and domain computers, there is a group policy object in place that prevents caching mode.  If a computer is NOT in the domain OR is using Outlook 2010, then that policy does not apply, and by default, cached mode gets turned on. 

     

    To turn it off, go to File, Account Settings, Account Settings.  Select her name, hit change.  “Use cached exchange mode” should be unchecked.

    Restart Outlook

    The maximum number of names that you can include in a distribution list depends on the size of the contact files (for each contact) themselves. There are no hard and fast rules but in general, a distribution list can contain between 50-70 names and e-mail addresses.

    What devices are supported on W&L's secure wireless network? (link)

    The wireless network for W&L faculty, staff and students uses a technology called 802.1x, which provides security by encrypting all network traffic.

    Some older computers do not support this technology. However, most modern, up-to-date wireless devices will run on the secure wireless network:

    • Windows computers with security features enabled, including auto-updates, firewall and up-to-date operating system
    • Macintosh computers with security features enabled, include firewall and up-to-date operating system
    • Apple iPad and iPod Touch
    • Most Smart Phones with wireless capability, including iPhone, Blackberry, and Android-type phones

    Game devices such as the Xbox 360 and Wii and other special-purpose network devices such as the Roku do not function on the secure wireless network. For such devices, use a wired connection, or register them for use on the wireless network.

    Whenever possible, use the tool at http://wireless.wlu.edu  to configure your device for use on W&L's wireless network.

    You may need to manually configure some devices. The settings are:

    • SSIDD: WLUsec
    • Wireless Encryption: WPA2 Enterprise
    • Authentication Protocol: MS-CHAPv2/PEAP
    • Outside tunnel authentication: This should be left blank
    • Inside tunnel authentication: WLU Username and Password
    • Security certificate verification: Equifax Secure Certificate Authority

    How to share a distribution list in Outlook 2010. (link)

    1. Open the distribution list (double-click on the list.)

    2. Click on Forward Group.

    3. Choose As an Outlook Contact.

    4. Send the email to the recipient.

    For the recipient:

    1. Open the email.

    2. Click on the email attachment and drag it to the Contacts button on the left side of the Outlook window. Now when you look at your contacts, you should see the distribution list.

    Why are some files unavailable in my personal web site? (link)

    If you right click on the files that do not work and look at the Security tab under Properties, the read permissions for the WWW user are missing.  This is the account that the web servers use to read the data.  Missing rights is usually caused by moving files between folders of differing security settings.  Within a volume, the file server does not recalculate rights on a move.  These files may have been dragged from elsewhere in the H: drive, and therefore did not receive the read permissions required.  The easiest way to prevent this is to use copy/paste instead of drag or move, since rights are always re-calculated when a file is created. 

     

    To fix the existing files: 

    1.       right click on the public_html folder

    2.       select properties

    3.       select security

    4.       select advanced

    5.       check the box “Replace permission entries on all child objects with entries shown here that apply to child objects”

    6.       select OK

    7.       select OK

     

    This will force all the rights in the public_html folder to be recalculated.

    Technology work request tickets can be created simply by emailing your request to helpdesk@wlu.edu from a W&L email address. Your request will automatically be turned into a request ticket, and you will be sent a ticket confirmation.

    You can reply to that email to update the job with further details, or simply send a new email to helpdesk@wlu.edu with the subject line Ticket your ticket number . (E.g. Ticket 12345) and your update in the body of the email.

    Open the message and then hit Control-Shift-F to bring up Advanced Find

    At the top right is a ‘Browse’ button

    Click browse and it will show you the hierarchical location of the folder your current message resides in

    Close your search

    Go to the folder and drag your lost folder back up to your name@wlu.edu folder

    How do I create Distribution Lists from an e-mail I've sent or received? (link)

    There's not a direct way from the file menu, but you can do the following to save that group as a distribution list:

     

    1. In the e-mail message you want to copy the names from, highlight the names in the To or Cc box.

    2. Right-click and select Copy.

     

    3. On the File menu, click on the down arrow next to NEW, and then select Distribution List.

     

    4.  In the "Name" box, type a name for the distribution list.

     

    5. Click "Select Members".

     

    6. In the Members field, right-click, choose "Paste" and then OK. 

    7. Click the "Save and Close" button to create the distribution list.

     

    The first time you send to the distribution list, you will have to click CTRL + K, or the "Check Names" button to make the name of the list auto-complete.

    How do I export a test or evaluation in Sakai from one course and import it to another? (link)

    There are three ways to move a quiz from one Sakai site to another. Here are the three methods:

    Method #1

     

    1. Activate the Tests & Quizzes tool in the destination Sakai site.
      (Site Info > Edit Tools > check the box next to "Tests & Quizzes" > Continue > Finish.)
    2. In the old site, go into Tests & Quizzes.
    3. Below the title of the test you want to export, click on the link that says "Export".
    4. In the next screen, make sure that Content Packaging is selected.
    5. Click the Export button.
    6. Click Download.
    7. A browser window will open up with a page full of xml code. Don't worry, that's supposed to happen.
    8. In that window, go to File>Save As and save the file to your desktop. It should be named "exportAssessment.xml" That's fine, no need to change the title unless you want to add, "exportAssessmentChem106.xml" for example.
    9. Click Save.
    10. Go into the destination course.
    11. Tests & Quizzes > Assessments
    12. Click on the Import button
    13. Browse to the exportAssessment.xml file and click Open.
    14. Click Import. Depending on the size of the file, this might take a minute.
    15.  You should now see the imported test listed under Assessments.

     

    Method #2 (this method will bring in ALL Tests and Quizzes from an old site)

    1. Activate the Tests & Quizzes tool in the destination Sakai site.
      (Site Info > Edit Tools > check the box next to "Tests & Quizzes" > Continue > Finish.)
    2. In the destination site, go to Site Info > Click on Import from Site > Select "I want to merge my data"
    3. Select the old course that has the test, quiz or survey you want to copy.
    4. Check the box next to Tests & Quizzes.
    5. Click on Import > Finish > Continue
    6. Click on Tests & Quizzes in the left side menu to verify that the test, quiz or survey was merged into the site.

    Method #3 (This method creates a question pool that you can access in any of your course sites.)

    1. In the course site that has the assessment you want to copy, go to Tests & Quizzes.
    2. Click on Question Pools
    3. Choose Add New Pool.
    4. Fill in the Pool Name field and Save
    5. Click on Assessments.
    6. Click on the name of the Assessment that has the questions you want. You should now see the contents of the assessment.
    7. For each part in the assessment, on the right-side menu, click on Copy to Pool.
    8. Click on the name of the pool you created for these questions.
    9. Now, in the destination site, Create a new assessment. (Tests & Quizzes > Assessments > Fill in the Title field, and click on Create.)
    10. In the Add Question drop-down box, select Copy from Question Pool.
    11. Click on the name of the pool that has the questions you want.
    12. Check the Copy? checkbox on the right side for every question you want to copy to the new assessment.
    13. Click Copy at the bottom of the screen.

    How do I add W&L staff, faculty or students to a SharePoint site? (link)
    1. One of the site owners needs to log into the SharePoint site (Members and Visitors cannot do this.)
    2. Site Actions > Site Permissions
    3. Select the name of the group to which you want to add the person.
    4. Click New in the light gray bar above the list of current group members.
    5. Type in or browse the address book for the username.
    6. By default, the box is checked for the added person to receive an email with a link to the site. You can also add a personal message if you'd like.
    7. Click OK.

    SharePoint User Receives Multiple Notification/Alerts from a List (link)

    There may be multiple user notification/alerts registered for the list.  To delete the extra notifications:

    1. on the SharePoint site as an admin, select "Site Actions"
    2. select "Site Settings"
    3. under "Site Administration" select "User Alerts"
    4. select the user to check for duplicate noifications/alerts and select "Update"
    5. check the duplicate notifications/alerts
    6. select "Delete Selected Alerts"

    These instructions provide a general map for configuring your account. If your Android menues offer you different choices than those decribed below try to pick the closest match.

    1. Go to Settings
    2. Choose "Accounts & Sync"
    3. Remove any non-functioning accounts
    4. Choose "Add Account"

    6. Choose "Manual Setup"
    7. Enter your email address

    Why can't I log on to a W&L authenticated web application? (link)

    Here are some of the most common symptoms and solutions to authentication failure to W&L web applications:

    1. You are repeatedly presented with a login prompt, which never is successful.  You are using a personal computer, or are off campus.    Try entering your user name with the prefix "AD\" .  E.g.   AD\MyAccountName  .  W&L's Active Directory domain is named "AD".  This prefix tells the web server which domain to authenticate against.
    2. The previous step does not work, but in the popup, you see an option similar to "Use Another Account".  Select that option, and use the AD\ prefix.  In this case, your browser is using your computer's name as the authentication domain, and is ignoring the AD\ prefix.
    3. Has your W&L password expired?  Has it been more that one year since you changed it?  You may do so at http://password.wlu.edu.
    4. You are using FireFox version 30.0 on a Mac or Linux workstation.  Release 30 breaks Windows authentication.  See the following for a fix: http://managementtools.wlu.edu/Help/Resources/1/271.pdf
    5. You are using FireFox version 40, and accessing an unauthenticated page with authenticated content embedded in it.  This version of FireFox intentionally disables this if the page and content are in different domains.  You can configure Firefox to allow this, or use a different browser.
    6. You are using Safari, and receiving the error "request body stream exhausted".  This is a bug with Safari authentication.  Use a different browser.
    7. You are on an iOS device, recently updated to version 7.  This update breaks windows authentication for some iOS devices like iPhones or iPads.  Use another device.
    8. You are never presented with a login prompt.  You are using Internet Explorer on a W&L computer, from off campus.  Integrated Windows login is failing because the browser can not communicate with a W&L AD Domain Controller from off campus.  Use another browser or temporarily disable Integrated Windows authentication: https://managementtools.wlu.edu/Help/Default.aspx?col=1&q=unable+log+login

    If none of these solutions work, try going to http://MyVI.wlu.edu and opening a web browser from the APPS screen.  Then, you will effectively be using a W&L computer, and on campus.  This will bypass many issues associated with using personally owned computers.

    What do I do if Outlook no longer suggests (autocomplete) names when I type in an address field? (link)

    Background:

    AutoComplete is a feature which displays suggestions for names and email addresses as you begin to type them. These suggestions are possible matches from a list of names and email addresses that you have typed before, known as the AutoComplete name list. The AutoCompletes name list saved as a file on the local machine. 

     

    Possible solutions:

    1. Are you using your primary machine?  AutoComplete Lists are saved per machine (locally).  If you are not on your primary machine you will have a different list.
    2. Was your machine rebuilt recently?  If so your AutoComplete file may not have been copied over to the new build. In this case you will need to start building a new list.
    3. Is AutoComplete turned off? To turn AutoComplete on:
      • go to the File menu
      • click Options
      • select the Mail tab
      • scroll down to 'Send messages' section
      • check the "Use Auto-Complete to suggest names when typing in the To, Cc, and Bcc lines" check box
    4. Very rarely a AutoComplete list file gets corrupted and all suggestions disappear. If your new entries are being saved then continue to build your new list with use. If the list remains blank contact the W&L InfoDesk.

    I have an Error 0x8004920a when trying to access mail.wlu.edu through FireFox or Safari. (link)

    This error occurs sometimes when using Firefox or Safari to access your Outlook Live account. Here's how to fix the problem:

    In Firefox, go to tools, options, then click the privacy tab and click "remove individual cookies".  Then search for outlook and delete all OUTLOOK.COM cookies.  It should now work.  This method may vary in different browsers and versions of firefox.

    In Safari, go Preferences/Security/Show Cookies and delete all OUTLOOK.COM cookies.

    How do I access a shared mailbox on my PC in Outlook Client after I have been granted access? (link)

    Outlook 2010/2013

    1. While logged in to Outlook select File Tab and click on Account Settings.
    2. In the Account Settings window highlight your Microsoft Exchange account and select Change.
    3. In the Change E-mail Account window select the More Settings button.
    4. Navigate to the Advanced tab.
    5. In the ‘Open these additional mailboxes’ display select the ‘Add’ button.
    6. Enter the name of the shared mailbox and select OK.
    7. Select OK again and close all previous windows.
    8. You will now have a permanent link to the shared mailbox in your mail folder hierarchy.
    9. NOTE: Sent Items behavior can be configured in one of two ways. To set the Sent Item configuration, login to the shared mailbox through  OWA, Select Options, Settings, and the  Sent Items tab:
      1.  
        • Sender: Copies the message to the Sent Items folder of the sender only  (set by default)
        • SenderAndFrom: Copies the message to the Sent Items folder of both the sender and the shared mailbox

    How do I send an e-mail attachment with the Tegrity link out of Sakai to a trusted viewer? (link)

    Open up the Tegrity link from Sakai
    Open the Session List and click the session you want to send
    At the bottom you will see an Actions drop down menu (if not maximize the window)
    Under Class Actions Click Get Class Link

    Note ** UNCHECK the "Do not allow anonymous user ..." box
    If you don’t the user will HAVE to log into Sakai

    Copy the URL and send via e-mail to TRUSTED user

    Pictures are displaying as boxes in incoming mail in Outlook. What settings can I change? (link)

    This is from an on-line forum...

    Outlook does not download any pictures by default for HTML emails. Now this is nothing new, but what is different is that Outlook 2010 has added another layer of security around the pictures. In 2010 to enable images for HTML:

    1. Click on the new "File" tab
    2. Click on "Options"
    3. Click on "Trust Center"
    4. Clicn on "Trust Center Settings"
    5. Uncheck the "Don't download pictures automatically in HTML e-mail messages or RSS items" check box
    6. Click the OK button
    7. Exit Outlook 2010
    8. Close all your applications and save your work.
    9. Restart the computer.

    Not initially.  The Safe Senders list can only be set up by enabling Automatic Email Filtering (Junk Folder) in Outlook Web Access (http://owa.wlu.edu) Once complete you can manage your safe senders list in Outlook 2010 and 2013.

    How do I access network drives (L:, H:, I:, J: ) on my computer or smart device? (link)

    1. Go to myvi.wlu.edu and authenticate. If it the first time you will be asked to install the Citrix client.

    2. Choose a virtual desktop

    3. Go to Computer (My Computer on Windows XP) and you should see the L: drive listed.

    How to Save a File from Email to the Dropbox with iAnnotate

    1. On your PC or Macintosh desktop computer, download the Dropbox program from www.dropbox.com

    a. As part of the installation process, Dropbox will create a file in your "My Documents" folder. Anything that you save to that folder will viewable from your iPad.

    2. Create a Dropbox account for yourself; remember the password because you'll have to enter it every time you access the account from your iPad. It can be the same or different from your University password.

    a. You should now have a Dropbox account with 2 GB of free storage.

    b. Drag a file into that folder for testing purposes.

    3. Download the Dropbox application on your iPad.

    a. Log into the dropbox once it's installed.

    b. You should see the file you dragged to the Dropbox.

    4. You can upload any photos or video files from your iPad to your Dropbox, but not any documents or PDFs. This is where iAnnotate comes in...it communicates between your email and your dropbox, being the 3rd party.

    5. Download the iAnnotate application on your iPad.

    6. You should now be able to send a PDF from email to iAnnotate, and from iAnnotate to the Dropbox, all from the iPad.

    What can you tell me (student) about W&L Long Distance Optional Bulk Plans for my campus residence? (link)

    Plan #1 was built with the average caller in mind. We will bill you a basic charge of $22.50 each month for 250 minutes of long distance calls within the U.S. That's 9 cents per minute. Continue to use our system beyond the 250 minutes in each billing period at the same low price of 9 cents per minute. Use these minutes to call anytime of the day or night to anywhere in the U.S. Minutes not used during a billing period will not be carried over. International calls are not eligible for this plan.

    Plan #2 is for the heavy user and has our lowest per minute rate. We will bill you a basic charge of $35 each month for 500 minutes of long distance calls within the U.S. That's 7 cents per minute. continue to use our system beyond the 500 minutes each billing period at the same low price of 7 cents per minute. Use these minutes to call anytime of the day or night to anywhere in the U.S. Minutes not used during a billing period will not be carried over. International calls are not eligible for this plan.

    You will have 30 days after your departure date to move your data out of your W&L Box.com account. At the point that your W&L network account becomes inactive, you will no longer be able to access your W&L Box.com account.

    I added a NON-W&L person to my Sakai site and that person logs in but doesn't see the site. What is the cause? (link)

    There are two possible causes:

    1. Make sure that you have published the site. (Site Info > Manage Access > Publish Site)

    2. Add the participant to the site as a NON-OFFICIAL site participant. In the course site, go to Site Info > Add Participants and add the user's full e-mail address in the SECOND box for NON-OFFICIAL participants.

    What is the IP address of the LifeSize video conferencing unit available in Leyburn Library? (link)

    The IP address of this device will vary based on the location where it is being used. If you need to know the IP address before the time of your conference, the unit will need to be connected to the network in your location prior to the time of your event. An IP address will be automatically assigned and displayed on the screen. You will then need to leave the device hooked to the network to retain that address.

    If I lost my smart phone not a Blackberry what do I need to do to stop email going to the device? (link)

    If you have a Mobile device connected to W&L email (Outlook)  and it has been lost or stolen  you will need to do the following ASAP:

     

     

    1. Login to Outlook Web Access (owa.wlu.edu for faculty/staff or mail.wlu.edu for students)
    2. Put in your user name and password
    3. Go to Options (this is located in the upper right)
    4. On the left of page click on Mobile Devices
    5. Select the device that you have lost
    6. You may choose to wipe the device to remove all of the emails from it remotely
    7. Delete the device from the list
    8. Click Save

    When off campus, why can't I log into a W&L application web site (like SharePoint) using Internet Explorer? (link)

    If one takes a W&L laptop that is in the W&L AD domain off campus and then attaches to a site that is in the IE 'Local Intranet' security zone, the laptop attempts to do pass-through integrated windows login.  However, this requires that the computer has direct access to an AD domain controller, which is blocked in the firewall.  Unfortunately, IE does not gracefully fall back to a username and password prompt in this case.

     

    To configure IE to always prompt for a username and password:

    1.       Open Internet Explorer

    2.       Select “Tools”

    3.       Select “Internet Options”

    4.       Select “Security”

    5.       Select “Local  intranet”

    6.       Select “Custom level…”

    7.       Scroll all the way to the last option and select “Prompt for user name and password”

    8.       Select “OK” to exit both dialog windows

     

    To re-configure IE once you are back on campus, follow the same procedure, but in step 7, select “Automatic logon only in Intranet zone”
