If your campus residence is in the dorms, apartments, or sororities, your phone is already installed and ready for use. It is a Rolm 120 digital phone with the following features:
• Single-line digital telephone with 12 special function buttons • Eight common function buttons (hold, connect, transfer, volume up, volume down, flash, DND, message waiting) • One button to indicate line is in use • One-way speaker (you can hear but not speak) • Two spare buttons to access many other options • Four-digit dialing on campus • PhoneMail (Rolm's voice mail) • Do Not Disturb (DND) feature
If you reside in one of the fraternities, you will need to provide your own phone for your room. Since the phone lines in the fraternities are analog, a normal single line phone like you have at home is all you need (older rotary phones will not work on this system). How do I use FLASH feature on my phone if I live off campus? (link) |
The FLASH function places any call on soft hold so that you can access a feature or dial another party. The soft hold lasts until you hang up or reconnect the call.
If you are not sure whether to FLASH before using a system feature, remember that you must have dial tone before using a feature. So, if you don't have dial tone, FLASH.
As a resident of off-campus housing, you provide your own phone and it is suggested that you use a phone that has a FLASH button since this feature is used to access so many system features. If you do not have a phone with a FLASH button, do the following: Press the switch hook on your phone for one second Listen for a tone followed by the high pitched holding tone
Note: Holding the switch hook down for longer than one second can disconnect your call.

Placement of outgoing long distance calls requires the use of your personal 7-digit authorization code. Your long distance code will be in you WebAdvisor account . No deposit is required for long distance service. No subscription fee or monthly service fee will be charged for an authorization code.
You are responsible for maintaining the confidentiality of your authorization code and you will be responsible for all calls placed with your authorization code. If your authorization code is lost or stolen, or if for any reason you feel the security of this number has been compromised, immediately contact the W&L Telecommunications Office in person. Because of the serious nature of the loss of an authorization code, if the Telecommunications Office is closed, you should contact University Security immediately at 8999.
Since your telephone service is provided by the University, you may not subscribe to any "residential" long distance plan offered by another long distance carrier. However, you may obtain access to the interstate common carrier of your choice by establishing a calling card account with them and dialing the carrier's "800" access number. You may also reach an alternate carrier by dialing 9 + 1010xxx + 0 + phone number (for example, to access AT&T using this method, you would dial 9 + 1010288 + 0 + phone number). Contact your carrier for their three digit code and rates. Be aware that many advertised calling cards have per call surcharges or monthly fees associated with them, so read the fine print before committing to any of these services. Please remember that your alternate carrier calling card account can't be associated with your W&L phone system telephone number. A substantial service fee will be charged for calls billed back to your W&L telephone number. For more information, contact the Telecommunications Office.

Basic telephone service on the University system has been provided in your room fee. The phone jack in your room is active and will accept a standard home phone or similar device.
The phone service in the fraternity and International house is slightly different from the phone service in the dorms. Dorm phones are on a digital service but our off-campus buildings are on an analog system. Because analog systems do not require a special phone, residents of our off-campus housing provide their own phones and may use any basic home type phone device. Your telephone service which includes PhoneMail upon request, a voice mail service that enables you to record a personal greeting of up to three minutes in length and accept up to ten, 3-minute messages. Your phone line will be programmed to forward automatically to PhoneMail if you do not answer after four rings or if your line is busy. The message waiting light on your phone will flash whenever you have received a message. You should retrieve and delete messages as often as possible.
By using the access phone number to PhoneMail and your personalized password, you will be able to retrieve messages from any touch-tone phone.
Your greeting will be your own personalized message that may be changed at any time from any phone.
Voice mailboxes are confidential and are accessible only to the individual via a password. The PhoneMail box owner should erase all messages at the end of the school year. The PhoneMail system will be purged of all messages 24 hours after the final day of spring term exams. Applies To: Students |

• You will be billed for unanswered long distance calls if you listen to a ring or busy signal for 30 seconds or more (approximately 4 rings) after completion of dialing. You will be charged for a one minute call. Credit will not be issued for these calls. • Students must not bill calls directly to their residence hall telephone number (i.e., accepting collect calls and third party calls). The cost of the call plus a handling fee of $20.00 will be charged to the extension to which the call has been billed. • University telephones must not be removed from their assigned locations. The ROLM-phone will not work with any other system. The actual cost to replace a missing phone or phones damaged beyond repair will be charged to resident of the room. Phones will not be replaced until a report has been filed with the Telecommunications Office. • If you damage or deface your phone, a charge for damages, time, and materials will be made against your account for any repairs (usually a minimum of $50). • Students must keep the phones plugged in at all times. PhoneMail allow you to send a single message to a list of extensions through the Pesonal Distribution List feature. You are limited to 10 extensions per Distribution List and you may have up to 5 different lists. Use the following instructions to create a Distribution List and to send a message.
Access your PhoneMail box Press 9 (mailbox options) Press 1 (distribution lists) Press 1 (create) (PhoneMail will assign a D-List number) When prompted, enter the extension of the first person you want on the list and press # Repeat previous step for other entries (up to 10) Press # when you complete your entries Hang up
Be sure to write down the number of your distrubtion list along with the extensions included in that list.

W&L’s system is linked directly to the area Emergency 911 notification system. 911 should only be used in life threatening situations. Minor emergency calls should be placed to University Security at 8999 from any W&L extension. You may place a call to E-911 by dialing 9+911. In most cases, the E-911 dispatcher will see the phone number you are dialing from and your location on their dispatch screen.
If you accidentally dial 911, please don’t hang up. Simply identify yourself and tell them there is no emergency at your location. There are cases when 911 is accidentally dialed, especially on international calls which require a 9-0-11 prefix or when using a fax machine. If you hang up, the 911 dispatcher is obligated to pursue the call to try to determine if there is an actual emergency.
Be sure to dial carefully. If you unintentionally contact a 911 dispatcher, please explain your mistake to them and you will have played an important role in making the system work properly (and you won’t be responsible for emergency crews rolling up to your dorm on a false alarm). The University's long distance carrier is BTI. If you elect not to use the University's system, you will need to acquire a calling card from the carrier of your choice for the placement of long distance calls. Access to alternate carriers is available through the W&L system by dialing the carriers "800" access numbers. You may also reach an alternate carrier by dialing 9 + 1010xxx + 0 + phone number (for example, to access AT&T using this method you would dial 9 + 1010288 + 0 + phone number). Contact your carrier for their three digit code and rates.
Washington and Lee University does not charge residents for the alternate carrier access described above. You must have an existing calling/credit card arrangement with the alternate carrier and must not associate that account with your local number nor allow charges to be billed to your local number. A substantial service fee will be assessed for all calls billed back to W&L numbers.

- Start Word, and then open a new blank document.
- Go to Word Options
- In Word 2007, click the Office Button, and then click Word Options.
- In Word 2010, click File, and then click Options.
- On the Advanced tab, go to the General section.
- Click to select the Confirm file format conversion on open check box, and then click OK.
- On the Mailings tab, click Start Mail Merge, and then select Step By Step Mail Merge Wizard.
- In the Mail Merge task pane, select the type of document that you want to work on, and then click Next.
- Under Select starting document, select the starting document that you want to use, and then click Next.
- Under Select recipients, click Use an existing list, and then click Browse.
- In the Select Data Source dialog box, locate the folder that contains the Excel workbook that you want to use as your data source, select the workbook, and then click Open.
- In the Confirm Data Source dialog box, click to select the Show all check box. Click MS Excel Worksheets via DDE (*.xls), and then click OK.
- In the Microsoft Excel dialog box, under Named or cell range, select the cell range or worksheet that contains the data that you want to use, and then click OK.
NOTE: Your data now appears in the Mail Merge Recipients dialog box with the same formatting that appears in the Excel worksheet.

If you have a Mobile device connected to W&L email (Outlook) and it has been lost or stolen you will need to do the following ASAP:
- Login to Outlook Web Access (owa.wlu.edu for faculty/staff or mail.wlu.edu for students)
- Put in your user name and password
- Go to Options (this is located in the upper right)
- On the left of page click on Mobile Devices
- Select the device that you have lost
- You may choose to wipe the device to remove all of the emails from it remotely
- Delete the device from the list
- Click Save

Tips to speedup a your Mac computer
The best way to speedup sluggish Mac computer is to rebuild it. Wipe the hard drive and reinstall the programs and your data. It's just like rebuilding a car engine, but like a car, that may involve a lot of work. If you have a full backup using TimeMachine you can wipe the hard drive, reload the Snow Leopard OS and then restore everything back to the same setup with TimeMachine and the program 'Migrate' found in the Utilities folder inside the Applications folder.
There are simpler ways to cleanup your Mac, though not as effective. You can run some simple maintenance programs. The simplest is actually built into the Mac already. One for the OS and one for MS Office.
For MS Office, follow this path:
Hard drive > Applications > MicroSoft Office 2011 > Office > Microsoft Database Utility.app
Select the "repair data base" option and run the utility. It is the first fix to help clear up any issues you maybe having with MS Office.
Next is 'Drive Utility' - located on this path;
Hard drive > Applications > Utilities > "Drive Utility" after opening, select the hard drive in the left column and "Repair Disk Permissions". If you boot from an original DVD, you can also "Repair Disk".
The next step to cleanup a Mac, is to dump caches that slow up systems and browsers. It can be done manually if you know where to find all the caches, but it's better if you use a good Utility program. These programs do not come with the Mac and must be bought separately. One of the best, and it's free, is ONYX. Check the link below and download the one for your system.

The last way to clean things up is to do the defrag like you mentioned. It's not built into the Mac because Apple says you don't need it. The Mac OS is designed to keep things defragged automatically. I have run it on some very fragmented machines and have found it to help with varying success. Several programs will defrag a Mac. The one is use is called iDefrag, (www.coriolis-systems.com/iDefrag.php -$60).
If you really want to speed up your Mac, new hardware is one of the best options but obvious cost bigger bucks. Max out the Ram memory to 4GB or better if your computer will hold it. The upgrade that really improves the speed the most, is replacing older hard drives with the new Solid State hard drives. They are all digital with no moving parts and make the laptop run unto 4 times faster. The big draw back is that they are expensive and so we are only buying small sizes ones for now. The biggest one we are using now is 120GB and they go for about $200. But that price should go down with time.
