How do I place a conference (teleconference)call using the conference phone in Leyburn Library? (link)

A Conference Calls allow up to eight parties in a conversation.

To set up a conference call:


1. Get the first party on the line

2. Press the FLASH button (The FLASH button just puts the first party on a soft hold.On the Soundstation2 conference phone, use the button with the 3 people icon on it)

3. Dial next extension number or key in 9 and dial an outside number

4. Inform the called party that this is a conference call

5. Press the CONF button or Key in FLASH * 4 to connect all parties.

6. If you have more participants, repeat steps 2,3 and 5 until you have reached all parties.

To Reconnect to the conference if a called party refuses the conference, is busy, or does not answer:
Press CONNECT (Phone) button
To Drop Last Party You Added to the Conference
Press FLASH
Press * * 4

My phone is not working, what should I do? (link)

First, unplug the phone from the wall jack and from the back of the phone and then reconnect them.  Many times this will correct the problem.  If this doesn't work, please call the help desk at 4357 or email help@wlu.edu  to report the line not working.

What can you tell me (student) about billing for my phone? (link)

The charges from your long distance use will be placed on your regular University account as part of the normal billing process. The bill will be sent to the address of record in the Business Office. The detailed call records for each month will be emailed to your W&L email address. A signed telephone contract must be on file with the Telecommunications Office.

Questions regarding your phone bill or any outstanding balance must be directed to the Telecommunications Office within 10 business days after the bill is received.

What can you tell me about my (student) phone in my campus residence? (link)

If your campus residence is in the dorms, apartments, or sororities, your phone is already installed and ready for use. It is a Rolm 120 digital phone with the following features:

• Single-line digital telephone with 12 special function buttons
• Eight common function buttons (hold, connect, transfer, volume up, volume down, flash, DND, message waiting)
• One button to indicate line is in use
• One-way speaker (you can hear but not speak)
• Two spare buttons to access many other options
• Four-digit dialing on campus
• PhoneMail (Rolm's voice mail)
• Do Not Disturb (DND) feature

If you reside in one of the fraternities, you will need to provide your own phone for your room. Since the phone lines in the fraternities are analog, a normal single line phone like you have at home is all you need (older rotary phones will not work on this system). However, in order to more easily take advantage of some of the system features, it will be beneficial to have a phone that has a "FLASH" button on it, but it is not required.

How do I use FLASH feature on my phone if I live off campus? (link)

The FLASH function places any call on soft hold so that you can access a feature or dial another party. The soft hold lasts until you hang up or reconnect the call.

If you are not sure whether to FLASH before using a system feature, remember that you must have dial tone before using a feature. So, if you don't have dial tone, FLASH.

As a resident of off-campus housing, you provide your own phone and it is suggested that you use a phone that has a FLASH button since this feature is used to access so many system features. If you do not have a phone with a FLASH button, do the following: Press the switch hook on your phone for one second Listen for a tone followed by the high pitched holding tone

Note: Holding the switch hook down for longer than one second can disconnect your call.

How do I access my Phonemail from on campus? (link)

PhoneMail has two access numbers. The number you dial is determined by the last digit of your phone number.

* * *Even numbers dial 8080

* * *Odd numbers dial 8090

  1. Dial your PhoneMail direct access number
  2. Dial your extension number followed by #. Special Note for Residents Sharing a Room and Phone: Double room residents must add a 1 or a 2 after your extension number while accessing PhoneMail. Names are loaded alphabetically. For example, if Sarah Bailey and Ann Jones share extension 4005, Sarah's PhoneMail box will be 40051 and Ann's will be 40052.
  3. Dial your password and press "#".
  4. Follow the PhoneMail prompts for options available to you.

    TIP: If you are in a single room and accessing PhoneMail from your own extension, you can simply press # in step 2 above.

After saving or deleting a PhoneMail message, you can attach comments to it and forward the message and comments to one or more extensions.  The original message follows your comments.  To forward a message.

      1.     Save (Option 4) or Delete (Option 6) the message
2.     Press 9 to Forward
3.     After you hear the tone, record your comments, which go in front of the message you want to forward
4.     Dial the extension you want to forward the message to
5.     Press # each time you complete dialing an extension
6.     Press # again to send the message through regular delivery

What can you tell me (student) about long distance service phone in my campus residence? (link)

Placement of outgoing long distance calls requires the use of your personal 7-digit authorization code. Your long distance code will be in you WebAdvisor account . No deposit is required for long distance service. No subscription fee or monthly service fee will be charged for an authorization code.

You are responsible for maintaining the confidentiality of your authorization code and you will be responsible for all calls placed with your authorization code. If your authorization code is lost or stolen, or if for any reason you feel the security of this number has been compromised, immediately contact the W&L Telecommunications Office in person. Because of the serious nature of the loss of an authorization code, if the Telecommunications Office is closed, you should contact University Security immediately at 8999.

Since your telephone service is provided by the University, you may not subscribe to any "residential" long distance plan offered by another long distance carrier. However, you may obtain access to the interstate common carrier of your choice by establishing a calling card account with them and dialing the carrier's "800" access number. You may also reach an alternate carrier by dialing 9 + 1010xxx + 0 + phone number (for example, to access AT&T using this method, you would dial 9 + 1010288 + 0 + phone number). Contact your carrier for their three digit code and rates. Be aware that many advertised calling cards have per call surcharges or monthly fees associated with them, so read the fine print before committing to any of these services. Please remember that your alternate carrier calling card account can't be associated with your W&L phone system telephone number. A substantial service fee will be charged for calls billed back to your W&L telephone number. For more information, contact the Telecommunications Office.

What general phone information do you have for those living in a Fraternity and the International House? (link)

Basic telephone service on the University system has been provided in your room fee. The phone jack in your room is active and will accept a standard home phone or similar device.

The phone service in the fraternity and International house is slightly different from the phone service in the dorms. Dorm phones are on a digital service but our off-campus buildings are on an analog system. Because analog systems do not require a special phone, residents of our off-campus housing provide their own phones and may use any basic home type phone device. The other differences mainly involve the keystrokes necessary to execute various phone system and PhoneMail functions. Please see other items in this section for details.

The PhoneMail system gives you the option of marking a message as “Urgent”.  The recipient receives and indication before listening to the message that the message is urgent.  Urgent messages appear at the beginning of the new message queue.

To Mark a Message as urgent after being answered by PhoneMail Record your message Press *#3 and then hang up.

To Send an Urgent PhoneMail Message without calling the recipient directly:

            1.       Access your PhoneMail box.
2.     Press 1 for Record
3.     Record message and press *#
4.     Enter an extension number and press ##
5.     Press 3 for Special Delivery

What general information can you tell me (student) about PhoneMail? (link)

Your telephone service which includes PhoneMail upon request, a voice mail service that enables you to record a personal greeting of up to three minutes in length and accept up to ten, 3-minute messages. Your phone line will be programmed to forward automatically to PhoneMail if you do not answer after four rings or if your line is busy. The message waiting light on your phone will flash whenever you have received a message. You should retrieve and delete messages as often as possible.

By using the access phone number to PhoneMail and your personalized password, you will be able to retrieve messages from any touch-tone phone.

Your greeting will be your own personalized message that may be changed at any time from any phone.

Voice mailboxes are confidential and are accessible only to the individual via a password.
The PhoneMail box owner should erase all messages at the end of the school year. The PhoneMail system will be purged of all messages 24 hours after the final day of spring term exams.

What are the rules and regulations for me (student) using the phones? (link)

• You will be billed for unanswered long distance calls if you listen to a ring or busy signal for 30 seconds or more (approximately 4 rings) after completion of dialing. You will be charged for a one minute call. Credit will not be issued for these calls.
• Students must not bill calls directly to their residence hall telephone number (i.e., accepting collect calls and third party calls). The cost of the call plus a handling fee of $20.00 will be charged to the extension to which the call has been billed.
• University telephones must not be removed from their assigned locations. The ROLM-phone will not work with any other system. The actual cost to replace a missing phone or phones damaged beyond repair will be charged to resident of the room. Phones will not be replaced until a report has been filed with the Telecommunications Office.
• If you damage or deface your phone, a charge for damages, time, and materials will be made against your account for any repairs (usually a minimum of $50).
• Students must keep the phones plugged in at all times. If a phone is detected unplugged, a $5.00 fee will be charged. Unplugged phones create problems for our system. The Do Not Disturb (DND) feature has been provided to help you avoid this fee.
• Be aware that some 800 number calls convert to toll calls (900 number). If you connect with one of these numbers, the cost of the call will be passed along to you. Direct dialing of 900 number services is blocked in our system.
• If your authorization code is lost or stolen, or if for any reason you feel the security of this number has been compromised, immediately contact W&L's Telecommunications Office in person. You will be responsible for all calls made prior to your notification in person. Because of the serious nature of the loss of an authorization code, if the Telecommunications Office is closed, you should contact University Security immediately.

How do I use Phonemail as an appointment reminder (future delivery)? (link)

You can use the Futrue Delivery function of VoiceMail to leave someon (yourself included) a message about important future appointments.  At the time you decide, the message will be placed in the proper PhoneMail box.

1.  Acces you PhoneMail box.
2.  Press 1 for Record
3.  Record message and press *#
4.  Enter an extension number (your own if this message is for you) and pres ##
5.  Press 3 for Special Delivery

How do I create a phonemail distribution list? (link)

PhoneMail allow you to send a single message to a list of extensions through the Pesonal Distribution List feature. You are limited to 10 extensions per Distribution List and you may have up to 5 different lists. Use the following instructions to create a Distribution List and to send a message.

Access your PhoneMail box Press 9 (mailbox options) Press 1 (distribution lists) Press 1 (create) (PhoneMail will assign a D-List number) When prompted, enter the extension of the first person you want on the list and press # Repeat previous step for other entries (up to 10) Press # when you complete your entries Hang up

Be sure to write down the number of your distrubtion list along with the extensions included in that list.

To send a Message to a Distribution List(s): Access your PhoneMail box Press 1 (record) When prompted, record your message then press * #. Dial the D-List number and press # Repeat previous step for additional D-Lists Press # when done.

What can you tell me (student) about W&L Long Distance Optional Bulk Plans for my campus residence? (link)

Plan #1 was built with the average caller in mind. We will bill you a basic charge of $22.50 each month for 250 minutes of long distance calls within the U.S. That's 9 cents per minute. Continue to use our system beyond the 250 minutes in each billing period at the same low price of 9 cents per minute. Use these minutes to call anytime of the day or night to anywhere in the U.S. Minutes not used during a billing period will not be carried over. International calls are not eligible for this plan.

Plan #2 is for the heavy user and has our lowest per minute rate. We will bill you a basic charge of $35 each month for 500 minutes of long distance calls within the U.S. That's 7 cents per minute. continue to use our system beyond the 500 minutes each billing period at the same low price of 7 cents per minute. Use these minutes to call anytime of the day or night to anywhere in the U.S. Minutes not used during a billing period will not be carried over. International calls are not eligible for this plan.

What can you tell me (student) about the 911 service? (link)

W&L’s system is linked directly to the area Emergency 911 notification system. 911 should only be used in life threatening situations. Minor emergency calls should be placed to University Security at 8999 from any W&L extension. You may place a call to E-911 by dialing 9+911. In most cases, the E-911 dispatcher will see the phone number you are dialing from and your location on their dispatch screen.

If you accidentally dial 911, please don’t hang up. Simply identify yourself and tell them there is no emergency at your location. There are cases when 911 is accidentally dialed, especially on international calls which require a 9-0-11 prefix or when using a fax machine. If you hang up, the 911 dispatcher is obligated to pursue the call to try to determine if there is an actual emergency.

Be sure to dial carefully. If you unintentionally contact a 911 dispatcher, please explain your mistake to them and you will have played an important role in making the system work properly (and you won’t be responsible for emergency crews rolling up to your dorm on a false alarm).

The following instructions will help you complete your calls on the W&L phone system:

To Call Another W&L Phone Extension:

Dial the last four digits

To Call a Local Number Off Campus:

Dial 9, wait for dial tone and dial the seven digit number

Local exchanges include: 258-Glasgow; 261, 264-Buena Vista; 291-Natural Bridge; 348-Brownsburg; 458, 460, 461, 462, 463, 464-Lexington.

To Call Long Distance (Direct Dial):

Authorization codes are required for long distance service. Dial 9 + 1 + (area code) + (phone number), wait for double beep, + (authorization code).

To Call Long Distance (Calling Card):

You may use a calling card to access the long distance carrier of your choice by following the instructions listed earlier in this handbook under “Long Distance Service.”

To Make International Calls

Dial 9 + 011 + (country code) + (city routing) + (local phone number), wait for double beep + (authorization code). Please be very careful when dialing international calls. Misdialing the initial digits can result in an inadvertent call to Emergency 911 services.

To Make Local or Long Distance Directory Assistance Calls:

Dial 9 + 1 + (area code) + 555-1212, wait for double beep, + (authorization code). The charge for this call is the prevailing rate at the time.

900 calls and 411 directory assistance calls are blocked.

  1. Pay your bill on time.
  2. When calling long distance, do not let a phone ring for more than 30 seconds (approximately 4 rings). This is especially important when making international calls.
  3. Do not accept collect or third party calls.
  4. Do not place 800 number calls that convert to toll calls.
  5. Do not share your authorization code.
  6. Do not damage or deface any part of a phone provided by the University.

What are the general features for the student on campus resident telephones? (link)

All on-campus student phones are installed and ready for use. The phone is a ROLM phone 120 with the following features:

  • Single-line digital telephone with 12 special function buttons
  • Eight common function buttons (hold, connect, transfer, volume up, volume down, flash, DND, message waiting)
  • One button to indicate line is in use
  • One-way speaker (you can hear but not speak)
  • Two spare buttons to access many other options
  • Four-digit dialing on campus
  • PhoneMail (Rolm's voice mail)
  • Do Not Disturb (DND) feature

What can you tell me (student) about using other long distance carriers? (link)

The University's long distance carrier is BTI. If you elect not to use the University's system, you will need to acquire a calling card from the carrier of your choice for the placement of long distance calls. Access to alternate carriers is available through the W&L system by dialing the carriers "800" access numbers. You may also reach an alternate carrier by dialing 9 + 1010xxx + 0 + phone number (for example, to access AT&T using this method you would dial 9 + 1010288 + 0 + phone number). Contact your carrier for their three digit code and rates.

Washington and Lee University does not charge residents for the alternate carrier access described above. You must have an existing calling/credit card arrangement with the alternate carrier and must not associate that account with your local number nor allow charges to be billed to your local number. A substantial service fee will be assessed for all calls billed back to W&L numbers.

If you find that you cannot dial the alternate carrier of your choice from within the W&L system, please contact the Telecommunications Office. telcom@wlu.edu

These instructions provide a general map for configuring your account. If your Android menues offer you different choices than those decribed below try to pick the closest match.

  1. Go to Settings
  2. Choose "Accounts & Sync"
  3. Remove any non-functioning accounts
  4. Choose "Add Account"
  5. Choose "Exchange and Active Sync"
  6. Choose "Manual Setup"
  7. Enter your email address
  8. Enter "owa.wlu.edu" as your Server address
  9. Enter "ad" as your Domain
  10. Enter your username as "ad.wlu.edu\username" and password
  11. Check the  "This server requires an encrypted SSL connection." Box.
  12. Choose "Next"
  13. Select the items you wish to sync. 
  14. Choose "Finish Setup"
  15. At this point you will be asked to accept the security policy and set a PIN if you do not have one.

How to Skype in Leyburn Library M41 (link)

1. Plug a USB camera into USB port of computer. Logitech USB webcams are available for checkout at the Information Desk in Leyburn Library.

2. Open Skype and log in.

3. In Skype, go to Tools > Options > Audio Settings and choose the Logitech microphone for the audio.

4. In Skype, go to Tools > Options > Video Settings and choose the Logitech camera for the video. (The resident camera does not work with Skype; Skype requires a USB camera, so it can't get the signal from the Dazzle camera.)

5. Add a contact-enter the Skype name, full name or email address of the party you want to call and click find.

6. Click on Video Call to call the person.

7. If multiple people will be sitting in on the Skype interview/video call, you may want to check out the Polycom Conference phone from the Information Desk for better audio.

What is the process for printing a poster at Leyburn Library? (link)
  • Submissions for printing will be accepted from CD-R, CD-RW, DVD, flash/thumb/USB drive, and Sakai.
    To upload an poster to Sakai: (1) Login (2) Go to "My Workspace" (3) Select "Membership" (3) Select "Poster Printing Drop Box" (4) Go to the folder with your name and click "Add" and "Upload Files."
  • The following file formats will be accepted: jpg, tiff, or PDF, as well as, images from the following software programs: Adobe Photoshop, MS Publisher, MS PowerPoint, or Adobe Acrobat.
  • Clients are encouraged to speak with University Library and/or ITS Staff prior to printing for training in preparing items. Contact Elizabeth Anne Teaff to schedule an appointment to setup a time to meet with one of our staff members.
  • Printing services will be assessed at the rate of $15.00 for standard posters (up to 30” by 42”) and $20.00 for larger items.
  • Departments wishing to print posters for advertising purposes, will be assessed at the rate of $30 per poster. A $5 fee will be added to the standard poster price if the due date for the poster is the same day the poster printing request is made.
  • Individuals who place jobs to be printed, but fail to claim or pay for this service, will have a fee of $20.00 charged to their University account.
  • Jobs that fail to meet client expectations will still be charged, unless University Library or ITS Staff was working with the client and they approved the file for printing.

What are the policies for large format scanning in Leyburn Library? (link)
    • The University Library has two large format scanners: one scanner for delicate and fragile items and one for maps and other large documents.
    • To use either scanner, items must be larger than 8½” x 11”. Small items may be scanned using one of the many available campus scanners. The Leyburn Library has several scanning stations on the Main Floor. Campus photocopy machines may also be used for scanning.
    • Items to be scanned may be dropped off at the Information Desk of the Leyburn at any time. We will have a turnaround time of 2 business days.
    • Scanned images will be saved to CD/DVD, clients’ flash/thumb/USB drive, or the web. The University Library has flash drives that may be checked out for a period of 24 hours and used to transport images.

Yes, there most definitely is. The Information Desk has a wide range of digital equipment and multimedia resources for checkout, from HDD video cameras and projectors to royalty free music. You can find the complete list at the Academic Technologies page:

How do I use this Web Camera I got from the Library? (link)

Web Camera Instructions

For questions please contact ITS: (540) 458-4357.

PC Installation:

  1. Log into PC;
  2. Plug in camera to USB port;
  3. Open "My Computer";
  4. Click on "USB Video Device";
    A window will appear showing what the camera sees.
    Notice that when the camera is recording, a red ring lights up on the camera.
  5. To stop recording: close video window.

Mac Installation:

  1. Log into Mac;
  2. Plug in camera to USB port.

Edit Web Camera Files (Mac only):

  1. Once the camera has appeared in Finder, locate the folder named DCIM;
  2. Under DCIM is the Video folder;
  3. Copy the folder or video files that you want onto your H:\ drive;
  4. Start up iMovie;
  5. Go to File: Import Movies and choose the folder or movies you want to import;
  6. Right click on the file and select Play Full Screen.

What is the IP address of the LifeSize video conferencing unit available in Leyburn Library? (link)

The IP address of this device will vary based on the location where it is being used. If you need to know the IP address before the time of your conference, the unit will need to be connected to the network in your location prior to the time of your event. An IP address will be automatically assigned and displayed on the screen. You will then need to leave the device hooked to the network to retain that address.

Excel formatting of phone/social security columns does not merge to Word - is there a fix? (link)

Word 2007 and Word 2010

  1. Start Word, and then open a new blank document.
  2. Go to Word Options
    • In Word 2007, click the Office Button, and then click Word Options.
    • In Word 2010, click File, and then click Options.
  3. On the Advanced tab, go to the General section.
  4. Click to select the Confirm file format conversion on open check box, and then click OK.
  5. On the Mailings tab, click Start Mail Merge, and then select Step By Step Mail Merge Wizard.
  6. In the Mail Merge task pane, select the type of document that you want to work on, and then click Next.
  7. Under Select starting document, select the starting document that you want to use, and then click Next.
  8. Under Select recipients, click Use an existing list, and then click Browse.
  9. In the Select Data Source dialog box, locate the folder that contains the Excel workbook that you want to use as your data source, select the workbook, and then click Open.
  10. In the Confirm Data Source dialog box, click to select the Show all check box. Click MS Excel Worksheets via DDE (*.xls), and then click OK.
  11. In the Microsoft Excel dialog box, under Named or cell range, select the cell range or worksheet that contains the data that you want to use, and then click OK.
    NOTE: Your data now appears in the Mail Merge Recipients dialog box with the same formatting that appears in the Excel worksheet.

If I lost my smart phone not a Blackberry what do I need to do to stop email going to the device? (link)

If you have a Mobile device connected to W&L email (Outlook)  and it has been lost or stolen  you will need to do the following ASAP:

 

 

  1. Login to Outlook Web Access (owa.wlu.edu for faculty/staff or mail.wlu.edu for students)
  2. Put in your user name and password
  3. Go to Options (this is located in the upper right)
  4. On the left of page click on Mobile Devices
  5. Select the device that you have lost
  6. You may choose to wipe the device to remove all of the emails from it remotely
  7. Delete the device from the list
  8. Click Save

What poster printing requests will the University Library accept? (link)

  • Requests from outside the University community will not be accepted.
  • Jobs from faculty, students, and staff must meet one or more of the following criteria: (1) works made for classroom use, (2) for poster sessions (3) Science, Society, and the Arts or other conference presentations, and/or (4) Capstone projects.
  • There will be a 48 hour turnaround for these services. Printing and scanning will take place Monday through Friday during the academic year.
  • Copyright compliance will be the responsibility of the user. Clients will be asked to sign a statement accepting responsibility for adhering to University Copyright Policy. The University Library staff reserves the right to refuse to accept any scanning or printing request if, in its judgment, fulfillment of the order would involve violation of copyright law.

    Who can I call with the LifeSize video conferencing system? (link)

    The LifeSize Passport video conferencing system is compatible with any other system that uses current video conferencing standards via the internet. The brand of conferencing system on the other end is not important as long as it uses the commonly accepted IP based communications standards. These standards are known as H.264, H.263 & H.261.

    How do I make a call on the LifeSize video conferencing unit? (link)

    The LifeSize Passport is a point-to-point communications device that uses standard internet infrastructure to transport the audio and video to the other end.

    Dialing is done by “calling” the destination unit’s IP address.  Just as every phone has a phone number, every device connected to the network has an IP address.  The person you are calling will give you their IP address and you will “dial” that number.  This is an example of a typical IP address – 137.113.161.15.

    How do I turn off Check In and Check Out on a Document Library in SharePoint 2010? (link)
    • Click on the name of the document library.
    • In the ribbon at the top of the page, choose "Library" under "Library Tools"
    • Select Library Settings (right side of ribbon)
    • Select "Versioning Settings"
    • Scroll to the bottom of the page. Under "Require Check Out", select "No"
    • Click "OK"

    The person you are talking to will also need to use some form of echo cancellation eitehr by using a headphone/mic or by closely controlling their speaker and microphone volumes.
