  3. In the top box, add the student's username, eg SmithJ16 (Do not use the complete email address; only the username)
  4. Continue

  7. Select Send Now if you want the student to receive an email notification that she/he has been added to the site; otherwise select Don't Send
  8. Continue
  9. Finish

By default, Sakai course sites are unpublished, which means that students will not be able to access a site until it is published by the instructor. 

To publish your site, click on Site Info, then Manage Access. Tick the box next to "Publish Site." Now click Update.

How do I reuse content from a previous course in Sakai? (link)

In the new site:

  1. Go to Site Info
  2. Click on Import from Site
  3. Select the course that contains the content you want to import
  4. Click on the content areas you want to bring over (eg, Tests & Quizzes, Resources)
  5. Click Continue, then Finished.

Is there a way to merge the participants from other sections into one Sakai course site? (link)

Go to Site Info > Import from Site, then choose the third option, which is "I would like to merge my user(s)".

In the next screen, check the box of the site that contains the students you want to import.

If you log into Sakai, enter the "Sakai Help at W&L" site, click on "Tegrity Screencasts", there is a screencast that shows this process titled "Merging Enrollments".

How do I re-use content (merge data) from a previous course in Sakai? (link)
  1. In the destination site, click on Site Info.
  2. Click Import from Site.
  3. Click I would like to merge my data
  4. Check the box next to the course that has the content you want to copy.
  5. Click Continue.
  6. Choose the appropriate content area (Announcements, Assignments, Resources)
  7. Click Finish

All of the content from that particular area will now reside in the destination site. Note that in order to import content into a particular area, that area must be added as a tool into the destination site. For example, if you'd like to import a quiz into the destination site, the Tests & Quizzes tool must be added to the destination site for it to appear.

Check your Delivery Dates and the time of day. 

Sakai allows you to set both the date and the time-- down to the second-- when your assessment will become available. Because it uses by default the time that you publish the assessment, you might find that the time is later than you expected.

How to move folders from one Sakai site to another (link)

1.Find the folder you want to move (in the Resources area of the course)

2.      From the Actions menu choose Move.

3.      Click on the “Show other sites” link in the bottom gray bar.

4.      Choose “Paste moved items” from the Action dropdown menu next to the folder where you’d to move the items.

5.      You can also click on the plus sign next to a folder to drill down into that folder and choose a folder within that folder.

How do I print my Sakai evaluation? (link)

If you need to print out your results from a Sakai evaluation from Tests & Quizzes, here is how to do it.

1. Click on Tests & Quizzes ana navigate to Published Assessments tab.
2. Choose “Scores” from Select Action button next to evaluation
3. Choose “Statistics” from gray top menu; this opens Sakai’s report panel
4. Right click in report frame and select “This Frame -> Print Frame…” This will print out the entire report.
5. You can also export results to an Excel spreadsheet. Choose “Export” from top gray menu to do this.
6. In the exported file, individual students are listed by row. Questions are listed by column.

I added a student, faculty or staff member to my Sakai site, but when she/he logs in, the site is not there. Why is that? (link)

When you add a W&L student, faculty or staff member to a Sakai site (Site Info > Add Participants) add the USERNAME ONLY in the top box for Official Participants. If you use the entire e-mail address, Sakai creates a guest account instead of using the regular account that's already there, so the regular account won't see the website.

Can I add people outside of Washington and Lee to my Sakai site, and if so, how? (link)

Yes you can. In the course site, go to Site Info > Add Participants.

Outside participants need to be added to the second box "Non-official Particpants". Enter the full email address of the participant and that person will be sent an e-mail with their username (full email address) and password (generated by Sakai.)

How do I copy or move links from one site to another in Sakai? (link)

1.     If that is the folder you want, you can move it or copy it to the new location by going to the Resources section, check the checkbox next to the folder name, and choose Copy or Move from the Actions menu.

2.     After you’ve clicked on Copy or Move, you need to select the “Show Other Sites” link at the bottom of the screen.

3.     Browse to the site where you’d like to copy or move your folder.  Click the checkbox next to the folder where you want the links folder to go (Probably the top level Resources folder) and select Paste Copied Items from the Actions Menu.

You can move or copy multiple files all at once:

 

1.      Go to the Resources area of the course with the files that you want to move or copy.

2.      To the left of each folder and file is a checkbox. Check the checkbox for every file you want to move.

3.      Look at the top of the list, just above the top gray bar. You should see 3 links: Copy, Remove and Move.

4.      Click on the Move or Copy link.

5.      Click on the Show Other Sites link.

6.      Select the appropriate folder from the list.

How do I use Sakai discussion forum to have students post papers and three students leave comments? (link)

Add the discussion forum tool to the site.

Allow new threads and allow attachments.

Have the students create a thread, post their assignments as attachments and then have three other students post replies to those threads. If a student goes in and sees that a particular paper already has three replies, then she or he needs to look at another paper. I don’t think there’s a way you can enforce this automatically, you just have to tell the students to pay attention.

 

If you look at the times submitted for the replies, you’ll be able to see who did the first three replies.

I added a NON-W&L person to my Sakai site and that person logs in but doesn't see the site. What is the cause? (link)

There are two possible causes:

1. Make sure that you have published the site. (Site Info > Manage Access > Publish Site)

2. Add the participant to the site as a NON-OFFICIAL site participant. In the course site, go to Site Info > Add Participants and add the user's full e-mail address in the SECOND box for NON-OFFICIAL participants.

How do I e-mail the students in my class? (link)
  1. You can use the Course Distribution Lists that are available in the Global Address List (GAL) in Outlook or Entourage. The courses are listed alphabetically by discipline. The format is Chem 106_01 Spring 2009-10.
  2. In Sakai, you can use the Announcements tool to send e-mails. Choose High Priority to send e-mail to all participants of the site.
  3. In Sakai, use the EMail Archive tool. You will have to add the EMail Archive tool in the Site Info > Edit Tools screen.
  4. In Sakai, use the Mailtool too. You will have to add the Mailtool tool in the Site Info > Edit Tools screen. Note: The Mailtool has been deprecated by the Sakai Foundation. The tool is no longer supported and may not be included in future releases.

I'm a student - what username do I use and when? (link)

You use the username assigned to you such as smitha15 for any of the products on campus.  You use the username smitha15@mail.wlu.edu to access your e-mail.
If you are adding your e-mail on your phone your username is smitha15@mail.wlu.edu

The password.wlu.edu change page syncs both the AD (ActiveDirectory) campus and e-mail password.

How do I look up a student's advisor (WebAdvisor)? (link)

1. In WebAdvisor: Go to the student profile page, enter a student's ID, and part of the information that will appear includes Advisor Name, email, etc.

2. In Colleague, many of the departmental administrative assistants have access to certain screens designated by the Registrar. On one or more of those screens, this information exists. So faculty could check with these departmental administrative assistants as well.

What can you tell me (student) about the 911 service? (link)

W&L’s system is linked directly to the area Emergency 911 notification system. 911 should only be used in life threatening situations. Minor emergency calls should be placed to University Security at 8999 from any W&L extension. You may place a call to E-911 by dialing 9+911. In most cases, the E-911 dispatcher will see the phone number you are dialing from and your location on their dispatch screen.

If you accidentally dial 911, please don’t hang up. Simply identify yourself and tell them there is no emergency at your location. There are cases when 911 is accidentally dialed, especially on international calls which require a 9-0-11 prefix or when using a fax machine. If you hang up, the 911 dispatcher is obligated to pursue the call to try to determine if there is an actual emergency.

Be sure to dial carefully. If you unintentionally contact a 911 dispatcher, please explain your mistake to them and you will have played an important role in making the system work properly (and you won’t be responsible for emergency crews rolling up to your dorm on a false alarm).

The following instructions will help you complete your calls on the W&L phone system:

To Call Another W&L Phone Extension:

Dial the last four digits

To Call a Local Number Off Campus:

Dial 9, wait for dial tone and dial the seven digit number

Local exchanges include: 258-Glasgow; 261, 264-Buena Vista; 291-Natural Bridge; 348-Brownsburg; 458, 460, 461, 462, 463, 464-Lexington.

To Call Long Distance (Direct Dial):

Authorization codes are required for long distance service. Dial 9 + 1 + (area code) + (phone number), wait for double beep, + (authorization code).

To Call Long Distance (Calling Card):

You may use a calling card to access the long distance carrier of your choice by following the instructions listed earlier in this handbook under “Long Distance Service.”

To Make International Calls

Dial 9 + 011 + (country code) + (city routing) + (local phone number), wait for double beep + (authorization code). Please be very careful when dialing international calls. Misdialing the initial digits can result in an inadvertent call to Emergency 911 services.

To Make Local or Long Distance Directory Assistance Calls:

Dial 9 + 1 + (area code) + 555-1212, wait for double beep, + (authorization code). The charge for this call is the prevailing rate at the time.

900 calls and 411 directory assistance calls are blocked.

How do I export a test or evaluation in Sakai from one course and import it to another? (link)

There are three ways to move a quiz from one Sakai site to another. Here are the three methods:

Method #1

 

  1. Activate the Tests & Quizzes tool in the destination Sakai site.
    (Site Info > Edit Tools > check the box next to "Tests & Quizzes" > Continue > Finish.)
  2. In the old site, go into Tests & Quizzes.
  3. Below the title of the test you want to export, click on the link that says "Export".
  4. In the next screen, make sure that Content Packaging is selected.
  5. Click the Export button.
  6. Click Download.
  7. A browser window will open up with a page full of xml code. Don't worry, that's supposed to happen.
  8. In that window, go to File>Save As and save the file to your desktop. It should be named "exportAssessment.xml" That's fine, no need to change the title unless you want to add, "exportAssessmentChem106.xml" for example.
  9. Click Save.
  10. Go into the destination course.
  11. Tests & Quizzes > Assessments
  12. Click on the Import button
  13. Browse to the exportAssessment.xml file and click Open.
  14. Click Import. Depending on the size of the file, this might take a minute.
  15.  You should now see the imported test listed under Assessments.

 

Method #2 (this method will bring in ALL Tests and Quizzes from an old site)

  1. Activate the Tests & Quizzes tool in the destination Sakai site.
    (Site Info > Edit Tools > check the box next to "Tests & Quizzes" > Continue > Finish.)
  2. In the destination site, go to Site Info > Click on Import from Site > Select "I want to merge my data"
  3. Select the old course that has the test, quiz or survey you want to copy.
  4. Check the box next to Tests & Quizzes.
  5. Click on Import > Finish > Continue
  6. Click on Tests & Quizzes in the left side menu to verify that the test, quiz or survey was merged into the site.

Method #3 (This method creates a question pool that you can access in any of your course sites.)

  1. In the course site that has the assessment you want to copy, go to Tests & Quizzes.
  2. Click on Question Pools
  3. Choose Add New Pool.
  4. Fill in the Pool Name field and Save
  5. Click on Assessments.
  6. Click on the name of the Assessment that has the questions you want. You should now see the contents of the assessment.
  7. For each part in the assessment, on the right-side menu, click on Copy to Pool.
  8. Click on the name of the pool you created for these questions.
  9. Now, in the destination site, Create a new assessment. (Tests & Quizzes > Assessments > Fill in the Title field, and click on Create.)
  10. In the Add Question drop-down box, select Copy from Question Pool.
  11. Click on the name of the pool that has the questions you want.
  12. Check the Copy? checkbox on the right side for every question you want to copy to the new assessment.
  13. Click Copy at the bottom of the screen.

Where can a student look for a lost file opened from Sakai? (lost file,attachment) (link)

1. Open Internet Explorer.

2. Go up to the gear menu in the upper right and select "Internet Options".

3. On the first page, you'll see a subheading named "Browsing history" and two buttons--hit "Settings".

4. In the new window that pops up, select "View Files" and a file window will open up. There, you can sort by name or size or type (although the name will likely be meaningless, just look for a file of the right type that was edited at or near the right time.

5. DO NOT double-click the file--it will try to open it up from the web, not where you saved it, and may corrupt what you have saved. Select the right file or files, and copy them to the desktop (either drag-and-drop or Ctrl-C and Ctrl-V). There you can open it and resave it properly with the right name.

How do I remove categories from my Outlook calendar? (link)

The best way to remove categories from your Outlook calendar is to view your calendar items as a list and then highlight the items and clear the categories.

To view the calendar as a list:

  • Select the Calendar, View menu, Current View, Change View, select List.
  • Clear the categories.
  • Select Current View, Change View, select Calendar.
  • Select Day, Work Week, Week or Month View to return to normal Calendar view.

What general information can you tell me (student) about PhoneMail? (link)

Your telephone service which includes PhoneMail upon request, a voice mail service that enables you to record a personal greeting of up to three minutes in length and accept up to ten, 3-minute messages. Your phone line will be programmed to forward automatically to PhoneMail if you do not answer after four rings or if your line is busy. The message waiting light on your phone will flash whenever you have received a message. You should retrieve and delete messages as often as possible.

By using the access phone number to PhoneMail and your personalized password, you will be able to retrieve messages from any touch-tone phone.

Your greeting will be your own personalized message that may be changed at any time from any phone.

Voice mailboxes are confidential and are accessible only to the individual via a password.
The PhoneMail box owner should erase all messages at the end of the school year. The PhoneMail system will be purged of all messages 24 hours after the final day of spring term exams.

What are the rules and regulations for me (student) using the phones? (link)

• You will be billed for unanswered long distance calls if you listen to a ring or busy signal for 30 seconds or more (approximately 4 rings) after completion of dialing. You will be charged for a one minute call. Credit will not be issued for these calls.
• Students must not bill calls directly to their residence hall telephone number (i.e., accepting collect calls and third party calls). The cost of the call plus a handling fee of $20.00 will be charged to the extension to which the call has been billed.
• University telephones must not be removed from their assigned locations. The ROLM-phone will not work with any other system. The actual cost to replace a missing phone or phones damaged beyond repair will be charged to resident of the room. Phones will not be replaced until a report has been filed with the Telecommunications Office.
• If you damage or deface your phone, a charge for damages, time, and materials will be made against your account for any repairs (usually a minimum of $50).
• Students must keep the phones plugged in at all times. If a phone is detected unplugged, a $5.00 fee will be charged. Unplugged phones create problems for our system. The Do Not Disturb (DND) feature has been provided to help you avoid this fee.
• Be aware that some 800 number calls convert to toll calls (900 number). If you connect with one of these numbers, the cost of the call will be passed along to you. Direct dialing of 900 number services is blocked in our system.
• If your authorization code is lost or stolen, or if for any reason you feel the security of this number has been compromised, immediately contact W&L's Telecommunications Office in person. You will be responsible for all calls made prior to your notification in person. Because of the serious nature of the loss of an authorization code, if the Telecommunications Office is closed, you should contact University Security immediately.

What can you tell me (student) about using other long distance carriers? (link)

The University's long distance carrier is BTI. If you elect not to use the University's system, you will need to acquire a calling card from the carrier of your choice for the placement of long distance calls. Access to alternate carriers is available through the W&L system by dialing the carriers "800" access numbers. You may also reach an alternate carrier by dialing 9 + 1010xxx + 0 + phone number (for example, to access AT&T using this method you would dial 9 + 1010288 + 0 + phone number). Contact your carrier for their three digit code and rates.

Washington and Lee University does not charge residents for the alternate carrier access described above. You must have an existing calling/credit card arrangement with the alternate carrier and must not associate that account with your local number nor allow charges to be billed to your local number. A substantial service fee will be assessed for all calls billed back to W&L numbers.

If you find that you cannot dial the alternate carrier of your choice from within the W&L system, please contact the Telecommunications Office. telcom@wlu.edu

How do I (student) set up my e-mail on my Blackberry? (link)

1.In the email setup application, on the Email Accounts screen, press the Menu key.

2. Click Add Email Account.

How do I use course distribution lists in Outlook? (link)
Lists are created at the beginning of each term, and are available in the Outlook address book. Search for them as you would any name. Courses are listed alphabetically, by discipline.
 
So, for instance, if looking for a Philosophy course distribution list using the Outlook client, type "Phil" in the "To" line, then click the "Check Names" button (or press Ctrl-K). Scroll until you find the Philosophy courses.

How do I create a project site in Sakai? (link)

In Sakai:

  1. Go to the My Workspace tab.
  2. Click on Worksite Setup.
  3. Click New.
  4. Choose Project Site (not Portfolio Site)
  5. Click Continue
  6. Give your site a title.
  7. Click Continue
  8. Choose the tools that you would like to use in your project site.
  9. Click Continue twice
  10. Click Create Site

Anti-Virus Software (Windows)

To install anti-virus software on your computer you must first uninstall any other antivirus software you might have before installing ours. Then click on the link Microsoft Security Essentials for Windows 7/Vista/XP and install using Internet Explorer.

The charges from your long distance use will be placed on your regular University account as part of the normal billing process. The bill will be sent to the address of record in the Business Office. The detailed call records for each month will be emailed to your W&L email address. A signed telephone contract must be on file with the Telecommunications Office.

Questions regarding your phone bill or any outstanding balance must be directed to the Telecommunications Office within 10 business days after the bill is received.

How do I remove the headers when I print a page from my browser? (link)

In Internet Explorer:

1. Go to File, then Print Preview

2. The fifth icon from the left is "Turn off Headers and Footers" Click it.

3. Print.  The headers and footers should be gone.

 

In Firefox:

1. To to File, then Print Preview

2. Click Page Setup.

3. Click the Margins and Headers/Footers tab.

4. Use the drop down menu to choose how you want the headers or footers to appear, if you want to remove them use the -blank- option.

5. Close and Print.

How do I remove someone from my shared (Outlook 2007) calendar? (link)

In Outlook 2007 you need to click on calendar to activate your calendar.
Right click on the calendar you were sharing and Change Sharing.
Click the name you want to remove and click remove.  Repeat if you share will multiple people.

Be aware that this is a calendar by calendar corrrection if you have multiple calendars.

On campus in all the dorms, Woods Creek Apartments and Sororities you can stream live TV, movies, sports and more on any device (you have to be connected to the wireless on campus) - and it's all included with your campus housing.

If your campus residence is in the dorms, apartments, or sororities, your phone is already installed and ready for use. It is a Rolm 120 digital phone with the following features:

• Single-line digital telephone with 12 special function buttons
• Eight common function buttons (hold, connect, transfer, volume up, volume down, flash, DND, message waiting)
• One button to indicate line is in use
• One-way speaker (you can hear but not speak)
• Two spare buttons to access many other options
• Four-digit dialing on campus
• PhoneMail (Rolm's voice mail)
• Do Not Disturb (DND) feature

If you reside in one of the fraternities, you will need to provide your own phone for your room. Since the phone lines in the fraternities are analog, a normal single line phone like you have at home is all you need (older rotary phones will not work on this system). However, in order to more easily take advantage of some of the system features, it will be beneficial to have a phone that has a "FLASH" button on it, but it is not required.

  2. When calling long distance, do not let a phone ring for more than 30 seconds (approximately 4 rings). This is especially important when making international calls.
  3. Do not accept collect or third party calls.

How does an administrative assistant access and use Datatel to find course and student information in order to support their department and its faculty members? (link)

If you need access to Colleague, please go to https://managementtools.wlu.edu/AccessRequest/ and request an account. Once the proper approvals are granted, an account will be set up for you. Accounts are set up on an individual basis and they should not be shared with anyone. In most cases, when dealing with course and student information, the Registrar’s office will provide some level of training or guidance on how to access the data you require.

 

 

If you already have access to Colleague but cannot remember your login information or have issues accessing the system, go to http://webhelpdesk.wlu.edu and create a ticket under the category of Administrative Data – Colleague Issues/Requests. Once submitted, the ticket will be automatically routed to the appropriate person who can help you resolve problems.

Cable television service is included in your room fee for the dorms, Woods Creek Apartments and sororities. Cable television service for the fraternity buildings and other off-campus facilities must be acquired through Comcast at 1-888-266-2278.

The W&L Cable TV package includes the basic service of 58+ channels. You will need to supply a cable ready television and the cable that goes between the wall outlet and your television set. This cable is available at the University Bookstore or electronics shops. The connection of the television, VCR or other video devices to the cable wall jack is the responsibility of the customer.

What can you tell me (student) about long distance service phone in my campus residence? (link)

Placement of outgoing long distance calls requires the use of your personal 7-digit authorization code. Your long distance code will be in you WebAdvisor account . No deposit is required for long distance service. No subscription fee or monthly service fee will be charged for an authorization code.

You are responsible for maintaining the confidentiality of your authorization code and you will be responsible for all calls placed with your authorization code. If your authorization code is lost or stolen, or if for any reason you feel the security of this number has been compromised, immediately contact the W&L Telecommunications Office in person. Because of the serious nature of the loss of an authorization code, if the Telecommunications Office is closed, you should contact University Security immediately at 8999.

Since your telephone service is provided by the University, you may not subscribe to any "residential" long distance plan offered by another long distance carrier. However, you may obtain access to the interstate common carrier of your choice by establishing a calling card account with them and dialing the carrier's "800" access number. You may also reach an alternate carrier by dialing 9 + 1010xxx + 0 + phone number (for example, to access AT&T using this method, you would dial 9 + 1010288 + 0 + phone number). Contact your carrier for their three digit code and rates. Be aware that many advertised calling cards have per call surcharges or monthly fees associated with them, so read the fine print before committing to any of these services. Please remember that your alternate carrier calling card account can't be associated with your W&L phone system telephone number. A substantial service fee will be charged for calls billed back to your W&L telephone number. For more information, contact the Telecommunications Office.

Plan #2 is for the heavy user and has our lowest per minute rate. We will bill you a basic charge of $35 each month for 500 minutes of long distance calls within the U.S. That's 7 cents per minute. continue to use our system beyond the 500 minutes each billing period at the same low price of 7 cents per minute. Use these minutes to call anytime of the day or night to anywhere in the U.S. Minutes not used during a billing period will not be carried over. International calls are not eligible for this plan.

I'm getting the error "The maximum number of cookie values has been reached" when I am logged into WebAdvisor. The same issue will happen with Student workflows, Web Time Entry Workflows, etc. (link)

This error may have been caused by opening four or more WebAdvisor hyperlink windows. For example, if a user is reviewing their budget and clicks on the Actuals, which opens a new window, then clicks on a Voucher, which opens a new window;  and the user does not close any of the child windows, and attempts to select another Actual, they will get the error.

All child windows must be closed using the CLOSE WINDOW button. If the user uses the browser's red X to close the windows, they will still get the error and be forced to log out and back in to WebAdvisor.

If this does not solve the problem you may need to review and then delete the webadvisor stored cookies.

In Chrome - Chrome Settings/Advanced/Content Settings/All Cookies &Site Data/Search "WebAdvisor"/ and Click X to to right of webadvisor.wlu.edu cookie to delete it
