Pictures are displaying as boxes in incoming mail in Outlook. What settings can I change? (link)

This is from an on-line forum...

Outlook does not download any pictures by default for HTML emails. Now this is nothing new, but what is different is that Outlook 2010 has added another layer of security around the pictures. In 2010 to enable images for HTML:

  1. Click on the new "File" tab
  2. Click on "Options"
  3. Click on "Trust Center"
  4. Clicn on "Trust Center Settings"
  5. Uncheck the "Don't download pictures automatically in HTML e-mail messages or RSS items" check box
  6. Click the OK button
  7. Exit Outlook 2010
  8. Close all your applications and save your work.
  9. Restart the computer.

How do I change my view in one of my Outlook mailboxes? (link)

A user had a view they liked, but the view had been corrupted in their Inbox.  The user went to another folder and clicked on View, then clicked on Apply Current View to Other Mail Folders.

How do I share my Outlook Calendar? (link)

1. Click on the Calendar so that you are viewing your calendar.

2. On the Outlook ribbon above the calendar, click on Share Calendar.

3. A new E-mail will open.

4. Select Calendar View Details: Availability Only, Limited Details or Full Details.

5. Send the Sharing Invitation to the person you wish to share the calender with.

How do I search for sent items in Outlook? (link)

Click on your Sent Items folder.  Type in the subject of the e-mail or a recipient’s last name in the search window. If the item you are looking for in not in the list of results displayed click on the link "Try searching again in All Mail Items" at the bottom of the list.  The items you are searching for should now be in the list of items found.

Check the number of e-mail messages you have in your inbox and various folders.  Microsoft reccommends that you maintain a range of 2,500 to 5,000 items in a folder.  Your inbox is considered a folder.

In Outlook 2007,  Click File > Options: Other (tab) and check the little box that indicates it will delete messages on Exit.

Outlook will occasionally freeze and kick me out. What can I do? (link)
  1. Run Microsoft Office Updates; there are several fixes for Outlook.
  2. Run Windows Updates.
  3. Delete and re-create the e-mail profile. (Control Panel>Mail>Show Profiles>Remove) (This process will delete customizations that you may have made to Outlook on your computer. Think twice before you do this.)

Why do I get the message "Outlook is trying to retrieve data . . ." (link)

Issue:

Occasionally Outlook will freeze and a message will pop up stating "Outlook is trying to retrieve data from the Microsoft Exchange server MEXMBA.ad.wlu.edu."

Reason:

This is most often caused by there being an overly large number of items in the folder of which Outlook is attempting to display the contents. Outlook must perform several operations against the Exchange server to retrieve the contents of a folder. Therefore, when there are many items in a folder, additional processing is required to respond to the Outlook requests.

Solution:

You can help avoid poor performance in Outlook by carefully managing the number of items in folders, especially the Outlook folders that are heavily used (such as the Inbox, Calendar, Tasks, and Sent Items folders).

For the best performance of Outlook, we recommend that you not exceed 5,000 items in any one folder.

Additional Information:

Operations that depend on the number of items in the folder include adding a new column to the view, sorting on a new column, finds and searches. Additionally, the complexity of the requested action will have an impact. For example, marking all items in a folder as Read will take much longer than marking one item. Other actions that may take a long time include retrieving free-busy information for lots of users on a meeting request, or performing a search across multiple folders. If you are frequently performing complex actions, or have high use of the Contacts and Calendar folders, the probability that you will experience decreased performance because of high item counts is greatly increased.

How do I remove categories from my Outlook calendar? (link)

The best way to remove categories from your Outlook calendar is to view your calendar items as a list and then highlight the items and clear the categories.

To view the calendar as a list:

  • Select the Calendar, View menu, Current View, Change View, select List.
  • Clear the categories.
  • Select Current View, Change View, select Calendar.
  • Select Day, Work Week, Week or Month View to return to normal Calendar view.

How do I share folders in Outlook 2010? (link)

To share an E-mail folder, in the Navigation Pane, click Mail.

 

· Right-click Mailbox - your name, and then click on Properties.

· On the Permissions Tab, click Add.

· Select the person that you want to give permissions to, and then click Add.

· Select the person's name in the list, and then for Permission Level, select Reviewer.

· Click OK.

· Right-click the folder you want to give the other person permissions to view, and then click  Sharing.

· Click Add.

· Select the other person you want to give permissions to, and then under Add Users, click Add

· Select the person's name in the list, and then for Permission Level, select Reviewer.

Note If you want the person to be able to change items, select Editor.

To share a folder that is not directly beneath Mailbox - user name, like the Inbox, Contacts, Calendar, Notes, or Journal folders, you must do the following on each folder that is higher in the folder tree.

· Right-click the folder, and then click Sharing.

· Click Add.

· Select the other user you want to give permissions to, and then under Add Users, click Add.

· Select the user's name in the list, and then for Permission Level, select None.

· The top folder, Mailbox - Your Name, must be shared to share any folder beneath it.

· The Inbox folder must be shared to share any of the folders beneath it, such as the Prospective clients folder. You can set the Inbox folder permissions to None to prevent others from viewing the contents.

· The Prospective clients folder should have at least Reviewer permissions for other people to view the contents.

Why is Advanced Search disabled in Outlook? (link)

To enable it:

  • Start > Computer > Manage > Services and Applications > Services
  • Locate the entry for "Windows Search"

How Do I Check the Size of my Mailbox Using Outlook 2010? (link)
  • From the File tab, under Info, select Cleanup Tools, then Mailbox Cleanup...
  • Click the View Mailbox Size... button.
  • Select the Server Data tab of the Folder Size window
  • Since 1,000,000 KB = 1 GB, for example if it is displaying 683,462 KB that converts to .68 GB.

    Note:

    Be sure to look at the Server tab, not the Local tab. The size of your folders listed on Local do not count towards your email storage quota, since these files are being stored on your 'local' hard drive.

In Outlook, how do I increase the font size of a new email message? (link)

1.    In Outlook, on the File menu, click Options.

2.     On the Mail tab, click Stationery and Fonts (4th option from the top).

3.     On the Personal Stationery tab, under New mail messages, click Font

4.     On the Font tab, under Font, click the font you want to use for all new messages.

5.     If you want, select a font style and size.

6.     Click OK on the Fonts, the Signatures and Stationery, and the Options dialog boxes.

7.     When you create a new message, the new settings should take effect.

In Outlook what are the definitions for the levels of folder permissions? (link)

Folder permissions: This type of sharing allows selected others to view the contents of a specified folder, but does not allow others to send email on your behalf. When setting up folder permissions, you can determine exactly how much access a given person has to your folder. The following roles are available:

  •  
    • Owner: Allows full rights to the mailbox, including assigning permissions; you should not assign this role to anyone
    • Publishing Editor: Create, read, edit, and delete all items; create subfolders
    • Editor: Create, read, edit, and delete all items
    • Publishing Author: Create and read items; create subfolders; edit and delete items they've created
    • Author: Create and read items; edit and delete items they've created
    • Nonediting Author: Create and read items; delete items they've created
    • Reviewer: Read items
    • Contributor: Create items
    • None: Gives no permissions for the selected accounts on the specified folder

How do I check to see if a room is available when making an appointment in Outlook? (link)

You click on Calendar - New Appointment - Invite Attendees

You will be able to add Names in the To line, Subject in that line, Location in that line.

To the right of Location you will see Rooms which you click and search rooms by building.
*Note all rooms are in the Outlook calendaring system. 

When you see the room you want you select it.

To check availability of the room and the attendees click Scheduling Assistant.

  • At the top on the right, click on Options.
  • Click on See All Options.

How do I set up delegates to send 'on behalf of' in Outlook? (link)

 

Outlook Delegates

There are major steps in order to use Outlook Delegates. The first is to select the user and add him as a delegate. You then must share your mailbox to that user.

  1. Go to File and choose Info
  2. Go to account settings and choose Delegate Access
  3. Delegates Tab and click Add
  4. Select the user who wish to grant access to and click Add and then Ok

Note: There are more options you can choose from once you select OK after adding that user. Nothing in the next window is necessary to grant send on behalf.

  1. When back at the main Outlook window, in the Folder List, choose your mailbox at the root level. This will appear as Mailbox – Full Name
  2. Right-click and choose Change Sharing Permissions
  3. Click the Add button
  4. Select the user who wish to grant access to and click Add and then Ok
  5. In the permissions section, you must grant the user at minimum, Non-editing Author.

A user wanting to send 'on behalf of' will need to a start new email, go to Options, Select the From item and search on the person that has allowed them delgate access.

I create an e-mail with the delay delivery option and get an error (unsent messages in your Outbox...) when closing e-mail for the night. What do I do? (link)

In Outlook 2007 and domain computers, there is a group policy object in place that prevents caching mode.  If a computer is NOT in the domain OR is using Outlook 2010, then that policy does not apply, and by default, cached mode gets turned on. 

 

To turn it off, go to File, Account Settings, Account Settings.  Select her name, hit change.  “Use cached exchange mode” should be unchecked.

How do I forward a message that is archived using Outlook Web App? (link)
  1. In Outlook Web App highlight your message.
  2. Click on View the original item. (E-mail stubs only show a portion of the original message)
  3. Log in with AD\username and your password.
  4. At the top, hover over the buttons until you find the Download button.
  5. Click on the Download button.
  6. At the bottom of your browser, a message appears asking 'Do you want to open or save the message from the server?'
  7. Choose Open.
  8. When message opens, click on Forward.
  9. Send to recipient.

I’m getting bounce backs on a previously good e-mail address, what should I do? (link)

Sometimes you will get a bounce back from an e-mail address that you have used before. Please forward as an attachment the bounce back to mtrimmer@wlu.edu.  If it is determined that there is an invalid address that has gotten into your auto-complete address list you will need to remove the invalid address and manually enter correct address.

 

To remove the bad address you will need to remove the Name@address.com entry in you auto-complete list (the list of address that come up when you start typing in the To field). To remove the entry start typing “N” in the To field of a new message, use the arrow keys to move up and down the list until Name@address.com is highlighted, and press the Delete key.

 

After this you can manually type the address once and it will then again be in you auto-complete list, this time with the correct address.

How do I restore my deleted contacts or distribution list in Outlook? (link)

Deleted contacts and distribution lists end up in the Deleted Items folder but the Deleted Items folder is normally sorted by the date the item was received. Because of this, deleted contacts and distribution lists are not easily found.

To easily find the deleted contacts and distributions lists start by opening the Deleted Items folder. Point the mouse at the column header that says "Arrange By". Click on this column header if "Show in Groups" does not have a check mark by it then select it. Next click "Arrange By" again and select "Type". Now the items are sorted by type, and you can hide all of a given type by clicking the triangle icon at the left of the type name. When you hide the other types, it will be easy to find any deleted contacts. Click on the triangle icon at left of the Contacts header if you don't see the individual deleted contacts. Then find the lost one and drag it back into your Contacts folder.

To return the Deleted Items folder to the default view click the "Arrange By" header and select "Date". Click again to disable "Show in Groups" if you would not liked them grouped.

1. On the Tools menu, click Options.

2. On the Preferences tab, click E-mail Options, and then click Advanced E-mail Options.

3. Under When new items arrive in my Inbox, clear the Display a New Mail Desktop Alert (default Inbox only) check box.

Note To suppress other notifications such as playing sounds, changing the mouse pointer, or displaying an envelope icon in the notification area, clear the Play a sound, Briefly change the mouse cursor, or Show an envelope icon in the notification area check box, respectively.

How do I create Contact Lists from an Excel chart or received e-mail? (link)

Create a distribution list by copying names from an Excel chart or received e-mail message.   
  
1.If using Excel copy the column.
2.In the message that you want to copy the names from, select the names in the To or Cc box. 
3.Right-click your selection, and then click Copy on the shortcut menu.
4.In Contacts on the Home ribbon New - Click New Contact Group and Name it.
5.On the Contact Group ribbon Members - Click Add Members and select from Outlook Contacts.
6.At the bottom of the Select Members dialog box, in the Members box, right-click and then click Paste on the shortcut menu. 

Note   A member does not need to be in your Address Book in order to be added to the distribution list. The member's name and e-mail address will be included when you copy and paste from the original e-mail message.

7.Click OK.
8.Click Save & Close.

How do I access Outlook Shared Mailboxes with IMAP Clients (iPad, Droid)? (link)
  1. Within your IMAP client add a new mail account
  2. For the full name field enter the shared mailbox name (or the name you would like to display when an email is sent from this account)
  3. For email address enter the SMTP email address for the shared mailbox.
  4. For password enter your own password
  5. For username enter ad/youraccountname/shared-mailbox-name (ex: ad/smithj/shredmail). Set account type to IMAP
  6. Set incoming mail server to owa.wlu.edu
  7. Set connection security to SSL/TLS using port 993
  8. Set the Outgoing Server to use SMTPA, and use your email/password for authentication.  You will not acutally use this, but most IMAP connection require this step.

1. Open the message in your sent folder that you wish to recall.

2. Click on other actions.

3. Click Recall this message.

Please note that the person to whom the message was sent will get the option to not allow the message to be recalled.

How do I open a shared folder? (link)

Instructions for the recipient of the shared folder:

 

 

1. Tools>Account Settings>E-mail tab>Highlight Exchange Account> Change

2. Click on the More Settings button

3. Advanced Tab

4. Add>Type in the name of the person sharing the folder

5. Click OK>Next>Finish>Close

6. This will add a Mailbox under with the user's name on it to your mailbox, and from there you can navigate to the shared folder.

If you can find a message in the folder 

Open the message and then hit Control-Shift-F to bring up Advanced Find

At the top right is a ‘Browse’ button

Click browse and it will show you the hierarchical location of the folder your current message resides in

Close your search

Go to the folder and drag your lost folder back up to your name@wlu.edu folder

How do I create a signature for my e-mail using the Outlook 2010 client? (link)
  1. In Outlook, click on File > Options > Mail.
  2. Click on Signatures.
  3. Click the New button.
  4. Type a name for your signature and click on OK.
  5. In Choose Default Signature:
  6. Select e-mail signature.
  7. Select if you want your signature added to New messages.

How do I add a SharePoint calendar to Outlook? (link)
  • Click on the name of the SharePoint calendar. 
  • From the Calendar Tools menu, select Calendar Tools.
  • Select Connect to Outlook.
  • A warning message from Microosft Outlook appears: 'Connect this SharePoint Calendar to Outlook? You should only connect lists from sources you know and trust.'
  • Click on Yes.

This option is only available from Internet Explorer or Mozilla Firefox browsers on a PC.

If you use Chrome on a PC, log into the site using Internet Explorer just long enough to accomplish the desired task.

If you're using a Macintosh, you can use a virtual desktop by going to http://thestable.wlu.edu, selecting an image from the MAIN menu, then logging into the SharePoint site using Internet Explorer.

How can I get the Outlook client on my home computer? (link)

Faculty and staff can purchase the current Office suite, which includes Outlook, at the University Store. Once you have installed Outlook, you can configure a mail profile using "Outlook Anywhere" so that you can use Outlook from home.

 

Note: If you are configuring a laptop for Outlook Anywhere connectivity while on campus, make sure to disconnect any wired and/ or wireless network connection. Otherwise Outlook will automatically configure the profile for you and none of the options below will be available.

  1. Go to: Start|Control Panel|Mail
  2. Click on Show Profiles

  4. Enter a profile name: (suggest something like "Off-campus username")
  5. Then check the box next to: Manually configure server settings or additional server types.

  1. On the File tab, click Options.
  2. In Options click Mail.
  3. Under Send messages, select or clear the Use Auto-Complete List to suggest names when typing in the To, Cc and Bcc lines check box.

Note: When you type the first letter of a name in the To, CC, and BCC boxes, AutoComplete begins to suggest possible matches based on the names of whom you have sent an item to before.

How do I recover deleted messages in Outlook? (link)

To recover purged messages from the Deleted Items folder:

  1. Select the Deleted Items folder.
  2. Click on the Folder tab.
  3. Click Recover Deleted Items.
  4. Select messages to recover.
  5. Click on mail icon to recover selected message(s).
  6. Message is restored to Deleted Items folder.

How do I undelete a contact in Outlook 2010? (link)

If you did in error it should be in your trash and then you just drag and drop it back into contacts.

If some time has passed follow these steps from Microsoft

  1. With Outlook 2010 open click the File Ribbon tab then click the Options button. 
  2. Click Customize Ribbon
  3. On the right-hand side add a New Group under the Folder main tab. You can rename it after it is created.
  4. Change the “Choose commands from:” to All Commands. Scroll down and select the “Recover Deleted Items…” option then click the “Add > >” button to add this option to your newly created custom group OK.
  5. You will now see your new group and the Recover Deleted Items icon in the Folder tab on all folders.
  6. If you were to click the button you will see that you have access to any purged/shift-deleted items from that folder.
  7. If you use the recover option you will see that your item has now been returned.

How do I create a Contact Group from scratch in Outlook? (link)

In the Outlook 2010

In Contacts, on the Home tab, in the New group, click New Contact Group.

In the "Name" box, type in the name of the Distribution List, i.e., "Committee Members".

On the Contact Group tab, in the Members group, click Add Members, and then click From Outlook Contacts, From Address Book or New Email Contact

  1. If you are adding a new email contact, enter the information for the person in the Add New Member dialog box.

If you are adding a member from Outlook Contacts or an Address Book, do the following:

  1. In the Address Book drop-down list, click the address book that contains the email addresses that you want to include in your Contact Group.
  2. In the list of names, click the names that you want, and then click Members. You can add names from different address books to the same Contact Group.
  1. Do this for each person whom you want to add to the Contact Group, and then click OK
  2. Click Save & Close in the top left.

The Contact Group is saved in your Contacts folder under the name that you give it.

How do I remove someone from my shared (Outlook 2007) calendar? (link)

In Outlook 2007 you need to click on calendar to activate your calendar.
Right click on the calendar you were sharing and Change Sharing.
Click the name you want to remove and click remove.  Repeat if you share will multiple people.

Be aware that this is a calendar by calendar corrrection if you have multiple calendars.

How do I make my contacts folder an Address Book (Outlook 2010)? (link)

To make a personal contacts folder into an address book that is visible when viewing address books, complete the steps below:

  1. In the Navigation Pane, click Contacts.
  2. Under My Contacts, right-click the Contacts folder you want to view in the address book, and then click Properties on the shortcut menu.
  3. Click the Outlook Address Book tab, and make sure that the Show this folder as an e-mail address book check box is selected. If the check box is unavailable, you need to add the Outlook Address Book to your profile (see instructions below).
  4. Click OK.

Now when you open a new message, click the To button, and open the dropdown list of address books, this address book will be listed.

Sending to a contact group in Outlook 2010 didn't send to all members. Why? (link)

Fix: 

     • When in the Contact Folder open the distribution list so that you can see the members.
     • Click on Update Now in the tool bar
     • Click Save & Close

To check that all members will be sent to, create a new message and place the distribution list in the To field, then expand the distribution list and check that all names are listed.

How can I add addresses to my personal contacts list from the Global Address List (GAL)? (link)

1. Open the Global Address List (GAL) by clicking the address book button(looks like a little open book)

2. Search the GAL for the user

3. Highlight the user> right click> click 'Add to Contacts'>

4. At this point you can either click 'Save & Close' and then manually move the contact from your default Contacts address book to your custom book OR you can select the Microsoft icon (top left) select 'Move'>'Copy to Folder'>select your custom address book folder>click OK>close the contact window without saving.

How do I import my class schedule into Outlook using the Outlook client? (link)

How to import your class schedule into Outlook 2007

1- Go to http://webadvisor.wlu.edu in your web browser.

2- Click on Log In and then enter your username and password; click submit.

3- Select the appropriate category: Students or Faculty

4- Select "Outlook Class Schedule Import"

5- You should receive a file in .ics format in your Outlook Inbox. The sender will be "Registrar"

6- Open the message in a separate window by double-clicking on it.

7- Right-click on the attachment and choose "Open", or skip to step 12.

8- Outlook will prompt you to add the calendar to Outlook.

9- Click "Yes".

10- The calendar will now be available in Outlook, and it will be named as your username. Right-click on the calendar name and rename it to the course and section number.

11- There should be a checkbox next to the calendar name in the left-side menu. Uncheck the box when you don't want it to display; check it when you do.

12-It has been pointed out that the search assistant will not see this separate calendar when trying to schedule a meeting.  If you want the search assistant to work, you will have to import into your primary calendar.  Continue reading for how to do this.

13- Open you email message, right click the attached file, and "Save as..." to a folder you can access.

14- Go into Outlook, click on the "File" dropdown menu, and select "Import an iCalendar (.ics) ...".  Then browse to and select the emailed file that you saved in the previous step.

15- When asked "Do you want to open this calendar as a new calendar or import its items into your calendar", select "Import".

16- The imported class schedule will now be part of your primary calendar.

How do I e-mail the students in my class? (link)
  1. You can use the Course Distribution Lists that are available in the Global Address List (GAL) in Outlook or Entourage. The courses are listed alphabetically by discipline. The format is Chem 106_01 Spring 2009-10.
  2. In Sakai, you can use the Announcements tool to send e-mails. Choose High Priority to send e-mail to all participants of the site.
  3. In Sakai, use the EMail Archive tool. You will have to add the EMail Archive tool in the Site Info > Edit Tools screen.
  4. In Sakai, use the Mailtool too. You will have to add the Mailtool tool in the Site Info > Edit Tools screen. Note: The Mailtool has been deprecated by the Sakai Foundation. The tool is no longer supported and may not be included in future releases.

How do I compress pictures in Powerpoint? (link)

1.  Click the picture that you want to change the resolution (the fineness of detail in an image or text produced by a monitor or printer) for. 

2.  Under Picture Tools, on the Format tab, in the Adjust group, click Compress Pictures.  (CHECK RELATED RESOURCES FOR SCREEN SHOT)

Note   If you do not see the PictureTools and Format tabs, make sure that you selected a picture. You may have to double-click the picture to select it and open the Format tab. If you see the Drawing Tools tab, rather than the Picture Tools tab, see When I click a picture, the Drawing Tools tab rather than the Picture Tools tab appears.

3. To change the resolution for the selected picture only and not all of the pictures in the document, select the Apply to selected pictures only check box.

How do I get my mail into Outlook 2011 on my Mac? (link)

We are just starting on these instructions.  Please let us know of additions/corrections.

In Outlook 2011 you need to go to mail preferences and add an exchange account.

User name is full e-mail address with password.

When prompted say always allow.

Server is pod51000.outlook.com

How does the AutoComplete feature work in Outlook? (link)
Note: When you type the first letter of a name in one the To, CC, and BCC boxes, AutoComplete begins to suggest possible matches based on names of whom you have sent an item to before.

How AutoComplete Works
The AutoComplete feature is turned on by default, and displays suggestions for names as you type them in the following situations:
  • To, Cc, and Bcc boxes in an e-mail message.
  • To boxes in meeting requests, tasks, and share requests
  • E-mail field in a contact card.

    When you type the first letter of a name in one of these boxes, AutoComplete begins to suggest possible matches based on names you have typed before. The more letters you type, the greater the possibility of AutoComplete finding a match.

Click the name you want to enter in the box. If you are using the keyboard, select the name using the UP ARROW or DOWN ARROW keys, and then press ENTER (or TAB). If no suggestion matches what you are typing, continue typing. The AutoComplete feature will remember what you typed the next time you type that name.

Names that you use less frequently will move lower in the list over time, and eventually will no longer appear.

How do I change the screen resolution on my computer? (link)

  • Right click on your desktop
  • Click Properties
  • Click the Settings tab
  • In the Screen Resolution section, use the slider bar to choose the resolution you want.
  • Click the Apply button

Windows 7 -

  • Right click on your desktop
  • Click on Screen Resolution
  • Use the drop down box beside Resolution, use the slider bar to choose the resolution you want.
  • Click the Apply button

 

Macintosh

  • Click on System Preferences
  • Click Displays (If necessary, click the Display tab)
  • Choose the appropriate resolution from the list

When you become more familiar with the PhoneMail system, you may want to select abbreviated prompts.  To change to abbreviated prompts:

      1.     Access your PhoneMail box
2.     Press 9 for Mailbox Options
3.     Press 2 for Prompt Level
4.     Press 2 for Abbreviated Prompts

How do I use course distribution lists in Outlook? (link)
Lists are created at the beginning of each term, and are available in the Outlook address book. Search for them as you would any name. Courses are listed alphabetically, by discipline.
 
So, for instance, if looking for a Philosophy course distribution list using the Outlook client, type "Phil" in the "To" line, then click the "Check Names" button (or press Ctrl-K). Scroll until you find the Philosophy courses.

How do I make all of my pictures fill the slides in PowerPoint 2007. (link)

In PowerPoint 2007 , click insert, then click on PhotoAlbum, click insert picture from file/disk, browse to the folder with your pictures, hold the control key and select the pictures you want in your presentation then press insert, under album layout: be sure that "Fit to Slide" is checked, then click Create! If some of your pictures have been cropped and don't fit the slide exactly, you can manually select the individual slide image and manually pull the edges out.

• Visit Facebook.com, log in to your profile and click 'Account' in the top-right corner. From there, choose 'Privacy Settings.'

• From the 'Privacy Settings' page, click on 'View Settings' to see who can search for you, send messages to your account, see your education and work settings and more. Change all of these drop-down menus to 'Friends Only.'

• Return to the 'Privacy Settings' page and choose 'Customize Settings' near the bottom of the page. This new page will load a number of different privacy options, but you'll want to click through each one and change the setting to 'Only Me' so that nobody else can see your Facebook activity.

• Stay on the 'Customize Settings' page and scroll down to 'Things Others Share.' Here, you'll want to edit and disable settings so that your friends are unable to write on your wall, comment on posts and check you in to places.

• Return to the 'Privacy Settings' page and, under 'Apps and Websites' in the bottom-left corner, select 'Edit Your Settings.' This page shows all of the third-party websites and applications that you have given access to some of your Facebook information. If you see anything on this list that you want to remove, just click to remove it from the list.

• Stay on the 'Apps and Websites' page, scroll down to 'Instant Personalization' and select 'Edit Settings.' Uncheck the box at the bottom of this page to block other websites from accessing your Facebook interests. Select 'Confirm' when a pop-up asks you if you're sure you want to disable this option.

• Return to the 'Apps and Websites' page, scroll down to 'Public Search' and select 'Edit Settings.' To keep search engines from finding your Facebook profile, uncheck the box on this new screen.

  1. Close Outlook client.
  2. Open Mozilla Firefox and set it as the default browser. Close Mozilla Firefox.
  3. Open Internet Explorer. 
  4. You may be prompted with a pop-up message: 'Do you want to make Internet Explorer the default browser?'
  5. If the pop-up does not appear, in Internet Explorer  > Tools > Internet Options
  6. Click on the Programs Tab and make Internet Explorer the default browser.
  7. Check the box 'Tell me if Internet Explorer is not the default browser.'
  8. Open Outlook. Links will open in Internet Explorer.

Yes. The Outlook plugin for Box is compatible with Microsoft Outlook versions 2013, 2010 and 2007. There is no Outlook plug-in available for Macs.

What is the maxium size of a distribution list in Outlook? (link)

The maximum number of names that you can include in a distribution list depends on the size of the contact files (for each contact) themselves. There are no hard and fast rules but in general, a distribution list can contain between 50-70 names and e-mail addresses.

Whenever possible, use the tool at http://wireless.wlu.edu  to configure your device for use on W&L's wireless network.

You may need to manually configure some devices. The settings are:

  • SSIDD: WLUsec
  • Wireless Encryption: WPA2 Enterprise
  • Authentication Protocol: MS-CHAPv2/PEAP
  • Outside tunnel authentication: This should be left blank
  • Inside tunnel authentication: WLU Username and Password
  • Security certificate verification: Equifax Secure Certificate Authority

How to share a distribution list in Outlook 2010. (link)

1. Open the distribution list (double-click on the list.)

2. Click on Forward Group.

3. Choose As an Outlook Contact.

4. Send the email to the recipient.

For the recipient:

1. Open the email.

2. Click on the email attachment and drag it to the Contacts button on the left side of the Outlook window. Now when you look at your contacts, you should see the distribution list.

How do I create Distribution Lists from an e-mail I've sent or received? (link)

There's not a direct way from the file menu, but you can do the following to save that group as a distribution list:

 

1. In the e-mail message you want to copy the names from, highlight the names in the To or Cc box.

2. Right-click and select Copy.

 

3. On the File menu, click on the down arrow next to NEW, and then select Distribution List.

 

4.  In the "Name" box, type a name for the distribution list.

 

5. Click "Select Members".

 

6. In the Members field, right-click, choose "Paste" and then OK. 

7. Click the "Save and Close" button to create the distribution list.

 

The first time you send to the distribution list, you will have to click CTRL + K, or the "Check Names" button to make the name of the list auto-complete.

How do I organize, rearrange, or change the order of my slides in PowerPoint 2007? (link)

1.   In a PowerPoint presentation, click View (at the top of your screen in the middle) and then click the Slide Sorter button (at the top left of your screen).

2.   Under the View tab click Zoom to open the Zoom dialog box and then select an amount to zoom to, 100% is the highest.

3.   Click a slide thumbnail and drag it to a location between two slides.  When you move the slide between two slides or to the far right or far left of a slide on a row, you’ll see a vertical line.  Once you release the mouse button, the slide will simply drop into the location of the vertical line.

4.   Click Normal view (top left of your screen) to return to the normal slide view.

There are two ways to share a Distribution List in Outlook 2007:

METHOD #1:

1.       Open the Distribution List.

2.       Right-click on the name of the distribution list.

3.       Click on Send Full Contact.

What do I do if Outlook no longer suggests (autocomplete) names when I type in an address field? (link)

Background:

AutoComplete is a feature which displays suggestions for names and email addresses as you begin to type them. These suggestions are possible matches from a list of names and email addresses that you have typed before, known as the AutoComplete name list. The AutoCompletes name list saved as a file on the local machine. 

 

Possible solutions:

  1. Are you using your primary machine?  AutoComplete Lists are saved per machine (locally).  If you are not on your primary machine you will have a different list.
  2. Was your machine rebuilt recently?  If so your AutoComplete file may not have been copied over to the new build. In this case you will need to start building a new list.
  3. Is AutoComplete turned off? To turn AutoComplete on:
    • go to the File menu
    • click Options
    • select the Mail tab
    • scroll down to 'Send messages' section
    • check the "Use Auto-Complete to suggest names when typing in the To, Cc, and Bcc lines" check box
  4. Very rarely a AutoComplete list file gets corrupted and all suggestions disappear. If your new entries are being saved then continue to build your new list with use. If the list remains blank contact the W&L InfoDesk.

I have an Error 0x8004920a when trying to access mail.wlu.edu through FireFox or Safari. (link)

This error occurs sometimes when using Firefox or Safari to access your Outlook Live account. Here's how to fix the problem:

In Firefox, go to tools, options, then click the privacy tab and click "remove individual cookies".  Then search for outlook and delete all OUTLOOK.COM cookies.  It should now work.  This method may vary in different browsers and versions of firefox.

In Safari, go Preferences/Security/Show Cookies and delete all OUTLOOK.COM cookies.

*Do NOTdelete ALL Cookies - just the outlook.com ones!*

How do I access a shared mailbox on my PC in Outlook Client after I have been granted access? (link)

Outlook 2010/2013

  1. While logged in to Outlook select File Tab and click on Account Settings.
  2. In the Account Settings window highlight your Microsoft Exchange account and select Change.
  3. In the Change E-mail Account window select the More Settings button.
  4. Navigate to the Advanced tab.
  5. In the ‘Open these additional mailboxes’ display select the ‘Add’ button.
  6. Enter the name of the shared mailbox and select OK.
  7. Select OK again and close all previous windows.
  8. You will now have a permanent link to the shared mailbox in your mail folder hierarchy.
  9. NOTE: Sent Items behavior can be configured in one of two ways. To set the Sent Item configuration, login to the shared mailbox through  OWA, Select Options, Settings, and the  Sent Items tab:
    1.  
      • Sender: Copies the message to the Sent Items folder of the sender only  (set by default)
      • SenderAndFrom: Copies the message to the Sent Items folder of both the sender and the shared mailbox

Download Qualys BrowserCheck: https://browsercheck.qualys.com/

Install this Mozilla Firefox plug-in. Click on Scan to find the plug-ins that need to be updated. Install the updates. Restart Firefox and log into OWA.

How do I recover edits (lost) in an attachment opened from Outlook on a Mac but not saved locally? (link)

A user on a Mac opened a word attachment in Outlook 2011 and neglected to place the file in a local or network location. There were changes made to the document.

How do I access a shared mailbox on my Mac in Outlook 2011 after I have been granted access? (link)

Outlook 2011

  1. While logged in to Outlook select Tools and then Accounts.
  2. In the Accounts window highlight your Microsoft Exchange account and select Advanced.
  3. In the Advanced window select the Delegates tab.
  4. Navigate to the People I am delegate for section.
  5. Click Add or + button.
  6. In the Select Users search field; enter the name of the shared mailbox and then click then click Find.
  7. Highlight the mailbox name then click OK and OK to close all previous windows.
  8. You will now have a permanent link to the shared mailbox in your mail folder hierarchy.

Can I get an exported list of all contacts at W&L that I can import into my personal address book in another mail client (Thunderbird, Gmail, etc.)? (link)

We do not provide copies of the address list for two primary reasons. 1 - it becomes a nightmare to troubleshoot issues as more and more out-of-date address lists are in use, 2 - if a machine holding these addresses gets infected with a virus that uses or collects addresses then our whole address list would be compromised.
